What are the responsibilities and job description for the Company Manager position at Virginia Stage Company?
A key position of the Virginia Stage Company, the Company Manager (CM) is one of the principal liaisons between our Guest Artists and VSC staff. The CM also provides critical operational and administrative support for VSC. The CM will report directly to the Operations Manager and collaborate closely with the Production Coordinator for show related needs.
ESSENTIAL DUTIES & RESPONSIBILITIES
Guest Artists
- Serve as liaison between VSC and guest artists by ensuring the hospitality, comfort, and safety of all Guest Artists while they are in residence.
- Be the primary point of contact for Guest Artists’ questions, needs, or emergencies while they are in residence
- Provide craft services for Guest Artists during technical rehearsals
- Coordinate meals for Guest Artists as required by union regulations
- Aid Guest Artists with pre and post residency shipments, coordinate delivery and/or pick-up of Guest Artist packages, mail, and reimbursement checks. Housing, Vehicles, and Parking
- Supervise necessary maintenance, cleaning, and regular care of all company vehicles and artist housing
- Assist the Operations Manager with the maintenance and oversight of the VSC housing and travel calendar
- Booking travel and housing for Guest Artists and VSC staff as needed
- Procurement and management of all Guest Artist parking needs Administrative Support
- Assist the Operations Manager with managing on-site visits for our independent IT company.
- Inventory and manage administrative office supplies and ordering. Set realistic standards for office cleanliness and organization for departments.
- Assist company leadership in the planning and execution of company morale events
- Manage company items such as updating mailboxes, procuring name tags and business cards, and maintaining the company contact sheet Casting Support
- Assist the Local Casting Director in writing and distributing casting notices
- Assist the Local Casting Director with the day of auditions by:
- Preparing audition sides
- Coordinating appointments for in-person auditions and/or callbacks
- Preparing and organizing headshots, resumes, and bios of auditionees
- Providing on-site logistical support such as setting up audition venue, greeting and checking in auditionees, and managing flow of artists while in the venue.
Health and Safety
- CM will be one of several COVID Safety Officers for VSC.
- Responsibilities may include assisting with on-site testing, facilitating transportation for off-site testing, and procuring additional testing and PPE supplies.
- Ensure that company vehicles and housing are appropriately cleaned and sanitized as required by local, state, and union regulations.
- CM will be the primary point of contact for staff needing to report workplace injuries.
- Coordinate with injured company members and/or witnesses with proper protocols and paperwork to ensure treatment, if necessary, is provided.
- Collaborate with the Accounting Coordinator in timely reporting on claims with our Worker’s Compensation insurance provider.
- Responsible for maintaining First Aid supplies in collaboration with the Production Coordinator
Skills, Abilities, and Knowledge:
- Must possess a high level of attention to detail and organizational skills
- Must demonstrate clear and concise communication skills
- Ability to manage time effectively to meet an assortment of deadlines for a multitude of projects and tasks
- Proficiency in standard administrative programs such as Microsoft Office Suite and Google Workspace Apps
Physical Demands/Work Environment:
- Ability to spend significant time working on a computer
- Frequent standing, walking, bending, use of hands, stooping, and some heavy lifting may be required.
- Regular night and weekend work is to be expected
