Open VisaNet is currently hiring for a Site Administrator to support our team in the Foster City office.
Job Description
The role provides direct program administrative support to the Open VisaNet Team. This position handles details of a highly confidential and critical nature and requires a broad working knowledge of departmental and company policies and practices.
This role is an individual contributor with a primary focus on execution. This position is at a developing professional level and solves a range of straightforward problems/analyzes possible solutions using standard procedures. This position receives a moderate level of guidance and supervision.
Responsibilities
- Establish and maintain effective and cooperative professional business relationships with all Open VisaNet leadership and employees in the Foster City office
- Liaise closely with our other site administrators and other internal departments within Visa, including but not limited to Facilities, HR and Training
- Ability to act quickly, seamlessly and professionally in response to problem situations
- Manage risks and issues relating to the team or site, and take ownership of a site log ensuring timely updates are provided to the wider Open VisaNet leadership team, with mitigating actions
- Provide accurate reporting to all stakeholders in the Foster City site and the wider Open VisaNet Program Office, including organization charts, recruitment status and training records
- Actively engage in the Open VisaNet global engagement team activities, driving change to promote site-wide benefits for the team in Foster City
- Proactively managing and coordinating recurring and ongoing activities that involve the Foster City site leadership team, including all-hands meetings and department leadership team meetings
- Assist with developing and updating complex PowerPoint presentations, Excel spreadsheets and documents in support of team activities in Foster City
- Coordinate conference/meeting room set-up, order catering, and make logistical arrangements; Coordination of events involving multiple internal teams
- Coordinate/Organize visitor meetings – IDs, rooms, refreshments, meet and greet, and provide logistics guidance. Work with other administrators to schedule events when the Leadership teams from other sites visit Foster City
- Assist in onboarding new staff
- Coordinate resolution to facilities issues
- Find and organize training, both group and individual
- Expertly manage travel bookings (both international and domestic) and submission of expense reports through iExpense
- Manage multiple distribution lists, adding and removing as necessary
- Attend and capture notes and actions in meetings
- Update seating charts, space plan and headcount forecasts monthly or more often if needed
Qualifications
•Minimum of 6 months of work experience or a Bachelor's Degree

•2 or more years of work experience
•Bachelor’s Degree highly preferred
•Experience in a global, public company
•Discretion combined with poise and professionalism in all communications
•Must be able to exercise exceptional judgment regarding information, which may be confidential or material, non-public
•The ability to operate effectively and efficiently in a challenging, fast-paced environment with little supervision
•Demonstrated strength in multi-tasking and prioritizing work with a strong attention to detail
•Excellent planning, organizational and written and verbal communication skills
•Advanced proficiency in Microsoft Office and demonstrated strength in developing complex PowerPoint presentations
•Customer service-focused with ability to work collaboratively with others including interacting with internal and external contacts
•Must be proactive and solution oriented, looking for ways to add value and assist the team
•Demonstrates excellent leadership and professional presence with a confident and approachable personality
•Possesses strong communication skills (written and verbal), with the ability to effectively communicate and collaborate with a diverse range of people and job functions

Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.
