What are the responsibilities and job description for the Payroll & Data Entry Clerk position at VNA Health Care?
Staff position providing technical accounting support in the Finance Department to meet financial and statistical reporting requirements and processing payroll and payroll-related requirements.
1. Responsible for timely journal entries and the maintenance of work papers and supporting documents to prove the carried balances in general ledger accounts as assigned, including but not limited to all payroll liability accounts: federal and state withholding, TDA payable, wage garnishments, FSA and HSA, unemployment payable, and accrual accounts including accrued wages, accrued workers comp, accrued vacation and accrued pension. Payroll-related entries must be completed upon completion of each payroll cycle. Other month-end entries must be completed the first week of the month for the preceding month for timely preparation of financial statement for presentation to the Board of Directors.
2. Assist with preparation and distribution of reports to management, grant funders and other external sources, and preparation of required documentation for external auditors of financial statements or grants. May include generation and analysis of trend statements and management budget analysis reports.
3. Responsible for auditing allocations of time and expense to programs and grants to ensure accuracy of allocations and accountability to grant funders by activating features in payroll or timekeeping software, assisting with time studies, and other means.
4. Assist with preparation and analysis of annual budget and monthly budget variances for payroll-related accounts.
5. Responsible for compliance with all Federal and State requirements related to payroll and Wage and Hour Law, and for the preparation of data and input to process payroll. This includes the following: Payroll entries such as expense reports; benefit catch up/changes; adjustments (Retro, bonuses); terminations (benefits/PTO); time logs.
6. Responsible for New Employee Set up in Sage Time and Attendance, new information into Sage HRMS, track that all paperwork was received (such as new hire info, benefits, and terms of employment).
7. Responsible for various payroll reports – FTE/VP reports, Epic reports and updates, Sage Time and Attendance hours report.
8. Responsible for acquiring a general knowledge of the workload and specialized knowledge of other job duties in Accounting through cross-training.
Position Qualifications:
1. Associates degree required / Bachelor’s degree preferred.
2. Two to four years of accounting work experience or general ledger experience primarily focused in payroll.
3. Self-motivated and ability to work independently.
4. Detail oriented and the ability to maintain accurate records.
5. Intermediate or Advanced Excel skills and computerized accounting systems experience.
6. Experience in health care desirable.
