POSITION SUMMARY
The individual in this role is responsible for managing the end-to-end employee hiring process, from recruitment to the first day of joining. This includes effectively communicating company and job information to newly hired employees, coordinating and scheduling their initial days, and collecting required paperwork. The primary objective is to streamline and facilitate the onboarding procedures, ensuring a smooth transition for new hires. Working closely with other HR functions, the Onboarding Specialist plays a pivotal role in maintaining a seamless candidate-to-employee process flow. The goal is to provide an exceptional onboarding experience and set the stage for successful employee integration within the company.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Supports recruitment efforts by assisting with screenings and interview processes, as well as extending offers to prospective employees.
- Generates official internal documents, such as offer letters and appointment letters.
- Prepares onboarding folders and kits for new hires.
- Provides technical assistance to ensure proper setup of hardware and software for new hires.
- Welcomes new hires, conducts office tours, and facilitates manager meetings.
- Maintains both paper and electronic employee records, ensuring accurate data entry into computer databases.
- Supports various HR-related programs, meetings, trainings, events, and initiatives.
- Coordinates new hire orientations to ensure a smooth onboarding experience.
- Aids in HR-related communication efforts, such as distributing important updates or announcements.
- Actively keeps up-to-date with the latest HR best practices to enhance workplace efficiency.
- Facilitate discussions, encourage feedback, and address questions and concerns promptly. Report ongoing concerns and trends to management.
- Assist with developing employee engagement plans and initiating engagement activities.
- Undertakes additional responsibilities and tasks as directed by management.
QUALIFICATIONS (Education, Experience, & Skills required)
- High School Diploma required.
- Minimum 3 years of HR Experience; Focus on Onboarding/Recruitment a plus.
- Sound knowledge in human resource disciplines with proven experience in Onboarding.
- Proficient in using Microsoft Office applications such as Excel, Word, and Outlook, as well as HRIS systems (UKG/Ultipro experience a plus)
- Demonstrates the ability to design workflows and procedures, generate innovative solutions, identify and resolve issues promptly, and coordinate projects effectively.
- Displays proficiency in project management and coordination.
