This position will be based initially at the Wallace campus in Dothan.
More than one position in the same job classification may be filled from the applicants for this position should another vacancy occur during the search process.
Essential Duties and Responsibilities
ESSENTIAL FUNCTIONS: The following list was developed through a job analysis; however, it is not exhaustive and other duties may be required and assigned. ESSENTIAL FUNCTION: Testing Administration. Assists with preparation and administration of various exams.
- Collaborates with the Testing Officer/ Professional Development Coordinator on the operation of the College’s testing program.
- Assists with all day-to-day operations of the Gary Hall Testing Center.
- Communicates with customers (faculty, other colleges, corporate clients, the public) via email and phone to give test information, answer questions, and schedule testing.
- Registers test candidates in scheduling software system.
- Admits testers and ensures pre-enrollment test requirements are met such as age and proper identification.
- Dispense test materials to students and ensure compliance with testing policies.
- Maintain security of and applies test passwords in computer-based testing system to start tests.
- Utilizes Excel or other database software to enter and maintain testing records, updating database records in a timely manner.
- Observes college, state/federal, and test-agency policies and procedures for security/confidentiality of testing records (including adherence to FERPA as it relates to testing services).
- Communicates with students as required to arrange and provide remote testing.
- Work with software technical support to resolve IT or technical problems that are outside the testing center.
ESSENTIAL FUNCTION: Communication with Students and Campus Partners. Facilitates effective communication regarding test results.
- Communicates with students regarding their test results, providing timely and accurate information, congratulating those who succeed, and offering encouragement and support to those who do not pass.
- Provides guidance to students on understanding their test results.
- Coordinates and communicates with campus partners to ensure the accurate and confidential dissemination of test results.
- Develops and maintains communication protocols to ensure accurate, consistent, and clear messaging to all stakeholders.
ESSENTIAL FUNCTION: Secure Reporting. Compiles data and prepares reports associated with testing.
- Helps maintain Gary Hall Testing Center statistics, including number of people tested, number of tests given, and type of tests.
- Assists with preparation of monthly and annual reports and makes recommendations concerning testing processes.
- Aids in Testing Center compliance with third-party testing center standards, and promptly responds to third-party support and quality channels on technical, quality, and other issues as they arise.
- Assists GED students ages 16/17 with completing testing application.
- Ensures the maintenance and integrity of all student data in compliance with all applicable state and federal laws, rules, and regulations.
ESSENTIAL FUNCTION: General Duties. Performs other department activities to ensure efficient, high quality service is provided to students.
- Pursues personal professional improvement; participates in programs, workshops, and classes to maintain competencies.
- Participates in in-service programs.
- Attends professional meetings or workshops in areas of specialty.
- Stays abreast with various testing techniques and evaluative procedures.
- Participates in individual and team professional development.
- Prepares requisitions for purchase orders for supplies, books, and other materials as needed.
- Maintain confidentiality of test files and office information.
- Monitors and maintains appropriate inventories of tests and testing materials.
- Establishes and maintains testing files.

Qualifications
- A minimum of one (1) year (which is the equivalent of 32 semester hours) of postsecondary education from an accredited institution AND One year of full-time customer service experience is required.
OR
A minimum of a high school diploma/GED equivalent AND two year’s of full-time customer service experience is required. - Ability to utilize Excel, Word, and other database software to enter, format, sort, analyze and report information is required.
- Ability to work nonstandard hours as required.
- One year of full-time customer service experience is required.
ADVISORY COMMITTEE: The President will appoint an Advisory Screening and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, a screening committee will select the applicants to be interviewed.
Applicants must travel at their own expense for interviews that are conducted in person.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.
