Box Office Assistant Manager - Full Time!!

A Box Office Assistant Manager is assists in the responsibility for the oversight, development, and running of a ticketing operation that emphasizes customer service and operates in a financially sound manner to meet the needs of the organization, its patrons, presenters, and promoters. They will assist staff in providing exceptional customer service before, during, and following ticket sales transactions. They will assist staff in achieving sales goals, defining and implementing ticketing and customer service policies, documenting and reporting sales, and managing ticket inventory. They will also assist staff in encouraging and supporting online sales by patrons.

Full-time hourly position; Box Office is open 7 days a week so shifts occur on any day. Shifts also include evenings and some holidays.

  • Maintain an informative, positive rapport with the ticket-buying public.
  • Assist in the selection and supervision of all box office personnel and provide necessary training and information to ensure that box office staff are well informed and properly trained in regard to policies and procedures. Provide continual emphasis on presenting a highly professional image and proper interactions with customers.
  • Assist in conducting staff meetings and training (customer service, sales, etc.), assist with performance reviews, initiate and complete disciplinary actions and forms as needed.
  • Handle complaints and related problems with the public, partner organizations, and promoters involving tickets, seating and related areas.
  • Make and receive internal and external customer phone calls in a professional and timely manner.
  • Oversee and maintain the inbound and outbound phone system, voice-mail, and contact email.
  • Assist with the supervision and processing of all season subscriptions. Assist in planning and implementing subscriptions, group and single ticket campaigns.
  • Assist with the processing of membership sales and renewals by the box office representatives. Work to implement membership sales programs.
  • Communicate regularly with promoters and facility renters and provide them with box office audit reports of ticket counts and handle all special ticketing needs including consignment tickets artist holds, fan club tickets and pre-sales.
  • Compile and distribute daily sales and financial reports to related departments and to presenters as needed.
  • Assist as needed in the preparation and submission of box office statements for settlement and all pertinent records pertaining to settlement.
  • Assist in the maintenance of accurate systems to account for the inventory of tickets and cash management.
  • Possess the ability to enforce standards for the department and be able to work well interdepartmentally with the staff and the general public.
  • Supervise the box office representatives in the processing of box office receipts and monitor their daily payment summary for accuracy. Reconcile sales with payment receipts daily and prepare deposits.
  • Manage and supervise the daily cash, including the vault.
  • Serve as cashier for other departments: Process change requests and accept deposits for delivery to bank, check out cash boxes.
  • Prepare and submit daily and end of month reports to finance department.
  • All other duties as assigned by management.

What you will need (qualifications)!

  • Education: Bachelor s degree, business management major or work equivalent experience preferred.
  • Minimum 4 years of customer service experience required. Previous ticket sales experience or call center experience is desired.
  • Minimum 2 years of managerial experience required.
  • Experience with phone and direct customer experience is required.
  • Experience in a theater, performing arts center, arena, museum or non-profit organization is preferred
  • Capable of working in a fast-paced, multi-focused environment.
  • Ability to handle and reconcile large sums of money utilizing cash management controls.
  • Ability to handle a variety of day-to-day tasks concurrently.
  • Highly organized and detail oriented.
  • Capable of working with promoters and the public, projecting a positive image of the box office and the organization.
  • Must be available to work weekends, evening hours, and occasional holidays.
  • Proficiency of computer programs Excel, Word, Outlook is required
