General Purpose
The Administrative Assistant position is an entry level role at our location in Gillette, WY. As an Administrative Assistant you will be joining a well-established Team at a growing company where you will support our transportation industry teams by performing clerical office duties. Among other qualities, a successful incumbent will have high attention to detail, be comfortable with computer based work and display excellent written and verbal communication skills.
Duties and Responsibilities
The duties described below are examples of the type of work required for the Administrative Assistant role. The areas of responsibility include, but are not limited to:
Data Entry and Reporting – Use attention to detail when entering data into multiple reporting systems such as KMI, Success Factors, Kronos, Datex, etc. Act as administrator for Team Member timekeeping and payroll.- Communication & Documentation– Utilize strong time management skills to create written communications and respond timely to all verbal communications. Review and provide feedback for written procedures such as SOPs JSAs and JHAs, etc. Create documentation in all of the Microsoft office suite of products; specifically Word, Excel, Outlook, PowerPoint and Teams.
- Leadership Support – Accurately complete routine and ad hoc projects to support initiatives of the site leadership team. Understand and promote the Customer First Foundation Principals.
- Point of Contact for Support Departments – Communicate and coordinate with support departments such as safety, environmental, people services, compliance and finance. Provide schedule coordination for interviews/recruiting and assist new hires in the completion of the onboarding process.
- Safety – Understand and assist in adherence to a safety culture among office and operations teams. Provide support for reporting and maintaining the site safety plan.
- Training – Actively participate in all relevant training for the role and any facility specific training as needed. Act as a peer trainer for any less experienced peers. Other duties as assigned
Knowledge, Skills and Abilities
Must be able to work with a team, take direction and follow work rules, as well as, take on additional job responsibilities as needed or assigned- Must maintain regular, dependable attendance and a high level of performance
- Ability to work in an office setting while sitting, standing, walking up and down stairs regularly
- Schedule flexibility required; ability to work weekdays and weekends when necessary
- Perform all work in compliance with Company standards, procedures, and regulatory requirements
- Working knowledge of Watco Safety and Operating principles
- Follow written and verbal directions to complete assigned tasks on schedule.
- Read, write, and communicate in English & understand basic math.
- Learn from directions, observations, and mistakes and apply procedures using good judgment.
- High school diploma or equivalent required.
- Valid driver's license
Machine, Tools, Special Equipment, Personal Protective Equipment Used
Required to wear all Personal Protective Equipment when in the field including, but not limited to steel toed boots, eye protection, hard hat, gloves, high visibility vest, etc.
Physical Requirements
The physical requirements for the Administrative Assistant role are similar to those typical in an office environment. Must be able to bend, stoop, lift up to 25 pounds alone, twist, climb, etc. Must be able to talk and hear well enough to communicate with all Team Members, vendors, and customers 100% of the time.
