Title: Office Manager, Wax Myrtle’s Club & Pool - Austin, TX


Reports to: Executive Chef, General Manager, AGM, F&B Director, LSD Directors & Partners


Position Objective: Our F&B coordinators help support the organization & staff as true hospitalitarians. Their primary focus is providing executive assistance to on-site management, assisting in daily service & events, and most importantly..guest experience. A detail-oriented and administrative-focused individual will thrive in this environment and role, but must also truly love service, engaging with guests, and have a passion for high volume restaurants. They will maintain the tone and vibe as related from Land and Sea Dept. and help support a team & culture that is positive and motivated.


Essential Duties and Responsibilities*:


Reporting to the Direct of Food & Beverage, responsibilities & essential job functions include but are not limited to the following:


  • Update status reports, facility updates
  • Track maintenance requests and any facility requests or projects
  • Bookkeeping and Accounting 
  • Coordination with BOH and FOH on non-regular vendor supplies and one-time purchases 
  • Ordering and inventory with BOH and FOH on vendor supplies through Sysco and Trimark
  • Coordination with Director of Finance concerning special projects 
  • Ensure daily bank deposits are accurate and deposited in a timely manner 
  • Ensure accuracy of employee profiles in Toast Payroll
  • Field and respond to info@Waxmyrtles.com email address 
  • Answering office phone, checking voicemail in the morning, distributing messages. This includes checking availability for event inquiries and qualifying any leads before passing to the Event manager.
  • Invoice entering and filing using R365
  • Receiving all mail, opening all envelopes, distributing bills and mail to appropriate people
  • Manage receipt inquiries, refunds, and reimbursements 
  • Assist in onboarding process for new hires 
  • Offsite storage management and requisition 
  • Maintaining cleanliness and organization of the office 
  • Ordering office supplies 
  • Assist in maintaining workers comp and liability claim work
  • Assisting HR with any questions regarding unemployment claims
  • Maintain permits, keeping them organized and up to date
  • Manage Online Store inventory, sales, and gift card fulfillment 
  • Keep hotel events and on LSD & 5AB shared calendars 
  • Enter events in BOB 
  • Maintain and update event calendar with all pertinent details
  • Pull and organize BEOs ahead of time and distribute to necessary team members
  • Design/Print daily party menus / any necessary signage / pull wristbands, etc.
  • Full operational understanding of all Reservations Systems (Tripleseat, Resy, etc.), Venues, and Menu Offerings
  • Help execute any outlet signage and menu printing needed - communicate with art department, marketing, and operations on needs

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Previous experience an asset in hospitality or related field
  • 1 yr administrative experience preferred
  • Demonstrated ability to multitask & handle assignments in a fast-paced, high pressure work environment
  • Ability to maintain positive attitude with all employees, including management, line level colleagues, & outside contacts while under pressure
  • Ability to meet deadlines without compromising work quality
  • Possess excellent working knowledge of restaurant & computer software, including Google, Microsoft, POS systems
  • Excellent customer service skills with timely response
  • Ability to communicate effectively in English both verbally and written
  • Professional appearance & demeanor at all times
  • Experience in digital marketing, design, or event management a plus
  • *May perform other job duties as they arise

    *Must be able to lift 40 lbs and stand for extended periods of time
