We are looking for a highly skilled and enthusiastic administrative professional to help support our team in our Stamford, CT office.  This is a key support role and an opportunity to work alongside some of the best and brightest in the real estate industry.

What you will do

  • Manage and plan calendar(s) of all meetings, appointments, conferences, travel and expense management for the Chief of Portfolio Management. 
  • Schedule and coordinate strategic meetings - including managing action-items
  • Manage communications and correspondence (phone, voicemail, email, mail), responding when needed; bringing action items forward to appropriate individual and department’s attention
  • Schedule and coordinate logistics of travel arrangements; assist with the preparation of expense reports
  • Produce timely and accurate documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
  • Drive the management of accurate and timely data entry into our systems and trackers
  • Serves as a liaison for communication and distribution of information among project teams
  • Organize and maintain online documents, files, records and shared drives
  • Partner proactively with executives to keep them informed of upcoming commitments and responsibilities, following up as appropriate
  • Manage special projects with speed and accuracy 

What you will bring: 

  • Bachelor’s Degree in Business Administration or related field preferred
  • Minimum of three to five years in similar administrative support role – real estate background helpful
  • Aptitude for problem solving and using independent judgment
  • High learning agility and strong technology orientation
  • Advanced proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook)
  • Smartsheet experience preferred
  • Demonstrated ability to handle information in a sensitive and confidential manner
  • Polished and professional presentation and communication style
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to work well under pressure, remaining flexible and adaptable to the environment and business demands
  • Ability to discretely handle highly confidential information
  • High degree of professionalism that embodies the firm’s values in any setting
  • Passion and curiosity for the real estate industry
