Summary:
As a Project Manager at Envoy San Diego, you will have a multi-functioning role that is responsible for a combination of project management, account management and resource management.
You will manage projects internally from creation through execution and delivery. You will oversee the daily management of process, people scheduling (resourcing), budgets, workflow and scope associated with your assigned projects. This includes working collaboratively with strategic leads and our creative director in oversight of the projects, schedules and milestones, and reviewing and proofing all final deliverables. You will also engage externally with clients, supporting their needs and requests in an account manager role, and partnering with our business development team to help manage the build out and final review of proposals.
As a project Manager, you will be a collaborative, solution-oriented and business-minded person who makes smart decisions across all aspects of the job. You are an excellent communicator, with strong people skills, responsive to competing needs and demands, as well as a strong multitasker who is able to maintain oversight of the complex and changing dynamics of the daily work. An understanding of the creative process and a hyper-attention to the details of each project are a must.
You will work closely with and report to the VP of operations.
You Will:
- Create comprehensive project schedules and manage all strategic and creative milestones and deliverables.
- Support the RFP/proposal process and create Statements of Work.
- Manage project schedules, budgets and overall project variables.
- Function as the ultimate problem-solver, anticipating and identifying potential issues and working with appropriate team members to find meaningful solutions that will result in the best work.
- Work with the Finance & Accounting department for all financial and invoicing needs.
- Help lead weekly status and resourcing meetings with the strategy and design teams
- Manage projects through Mavenlink, our project management system: including project setup, estimated hours for internal resources, weekly resource allocations, project health, etc.
- Manage project deliverables internally with our strategy, design and production teams via Basecamp (i.e., open jobs, brief projects and deliverables, update projects with client feedback, etc.)
- Manage revenue recognition for each of your projects and participate in revenue recognition meetings.
- Proof project presentation decks, documents and other deliverables for accuracy, grammar, typos and information design.
- Considering the best decisions for the business, while balancing needs of the client and the needs of our our teams.
- Manage feedback from clients effectively, communicating clear feedback on projects to our teams.
- Ensure clear communication between client and agency regarding project status.
- Make decisions based on strategic, thoughtful reasoning, balancing all variables and needs.
- Exercise flexibility and adapt to workload fluctuation and challenges with a positive demeanor.
- Be the owner of resource allocation for all team members on each of your projects, ensuring that the team is being allocated efficiently and effectively.
- Facilitate clear communication and personal interaction with our teams, face-to-face, to ensure all projects are tracking appropriately, and deadlines are met externally and internally.
You Have/Can:
- Minimum 5 years of experience.
- A Bachelor's degree.
- Experience scoping, bidding, gathering requirements and management for all types of projects in the shop (i.e., brand, innovation, experience, design, etc.)
- Experience working directly with strategic and creative team members.
- Deep understanding of project management for both the strategic and design process.
- Basic technical knowledge of various systems such as Google Drive and all tools within, Adobe Acrobat editing tools, Mavenlink, Basecamp, Google Calendar and more.
- Proofing skills for both written content and design layout.
- Be Incredibly organized and detail oriented.
- Be a self starter with a team mentality, able to work at a fast pace, efficiently and independently.
- Multitask, managing multiple projects and clients at once.
