Job Summary
The Assistant Manager Intake is responsible for managing a team of Intake Coordinators for the day-to-day operations of claims. It will implement the operational goals and the policies and procedures for both the Intake Coordination area, as well as the clinical division in general.
Essential Functions
The essential functions listed represent the major duties of this role, additional duties may be assigned.
DIRECT MANAGEMENT OF TEAM of INTAKE COORDINATORS:
Independently oversees the day-to-day operations for a team of intake coordinators
Direct management of a team of 3 intake coordinators
- Serve as SME and primary point of contact for all intake-related questions
- Supervise and monitor the quality of processes and outcomes under Sr UM Manager's general guidance; Act as an administrative liaison.
- Directly accountable for hiring new employees which includes partnering with Talent Acquisition team, conducting interviews, feedback and approvals. Manages Onboarding plan for new hires, coordinates with Talent Development training plans, check-ins and progress reports.
- Responsible for supervising and assigning workgroup assignments daily, including responsibility for continued daily operations case load.
- Review established metrics for quality and accuracy of claims processed. Partner with Internal Audit and Auditors in assessing metrics and areas of concern or improvement.
- Coach employees on performance. Check in with employees on a regular basis via 1:1 meetings. Make recommendations to Claims Examiners and to Sr. Management for areas of opportunity. Conduct performance appraisals.
- Reward and recognize team members for successfully performing goals and objectives and fosters a team environment upholding company mission, vision, values.
- Partner with HR on issuing any disciplinary issues and terminations complying with established processes and procedures to ensure compliance and fairness.
- Obtain and input initial demographics for inpatient and outpatient pre-certification and ensure accurate documentation of information obtained.
- Compile and audit reports requested by UM Nurses or executive leadership. Manage all clinical faxes, correspondence boxes, and ensure all regulatory timelines are met.
- Serve as Time Keeper reviewing time cards. Submits requests for OT to Sr. Manager & Leadership for approval. Reviews and approves or denies PTO request based on needs of business.
- Ensure applicable training/education, both initial and ongoing, for all Intake Coordinators.
- Identification/resolution of any errors within multiple systems utilized.
- Must meet all regulatory and compliance requirements for Utilization Management Intake processes.
MEMBER AND MEDICAL OFFICE CALLS:
Professionally conduct telephonic interactions, including accurate communication of services requested.
Screen calls appropriately and work with clinicians to ensure optimal turnaround times.
Complete call backs in an efficient manner.
SPECIAL PROJECTS
Complete special projects as assigned.
