Administrative Coordinator

Now available is the Administrative Coordinator position in Dining Services. In this role, the successful candidate will provide administrative and clerical support for the Director and area supervisors to affect successful operations for Dining Services team.
ESSENTIAL FUNCTIONS:
  • Receive and schedule function requests from residents and departments; notify Director and confirm approval
  • Receive, review and process function sheets; prepare function sheets from verbal requests as needed
  • Coordinate department time and attendance process communication and tracking; review / adjust timesheets for payroll approval and processing
  • Produce reports for overtime tracking, bonuses, inventory usage and ordering
  • Coordinate routine productivity, safety, and quality checks with supervisors
  • Prepare and distribute menus, special event announcements and change orders; track menu cycles and communicate with department leadership
  • Order desserts and other items as needed from suppliers
  • Maintain order guides for suppliers and track purchases; track usage for future ordering
  • Coordinate logistics for department meetings
  • Record and prepare minutes for department meetings
  • Prepare and post all relevant notices and schedules for team members
  • Maintain inventory and order office supplies and uniforms
  • Provide team member new hire/ performance / separation information to Human Resources
  • Prepare reimbursement requests and submit to Accounting
  • Code invoices and prepare check requests for Accounting
  • Plan and schedule team members certification classes and other training
  • Other administrative functions as assigned
REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND TRAITS:
  • High school diploma or GED
  • Previous administrative experience
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Power Point, Publisher)
  • Effective verbal and written communication skills; ability to work in fast-paced, ever-changing environment and maintain required professional demeanor
PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND TRAITS:
Previous food service clerical or administrative experience
