Position Title: Vendor Manager
Reporting to: Senior Director, Finance
Location: Chapel Hill, NC
Compensation: Vendor Manager 1 ($60,000-$70,000) or Vendor Manager 2 ($70,000-$75,000), depending on qualifications; this role is also eligible for an annual performance bonus
Position Summary:
We are actively seeking a Vendor Manager to join our Finance team. In this role, you will be responsible for collaborating across departments to oversee the end-to-end vendor management process for the organization, including sourcing, program oversight, negotiation and vendor relationship building. To be successful in this role, you should have excellent communication, organization and negotiation skills along with a proven track record of successful vendor management experience.
Key Responsibilities:
- Sourcing & Contracting
- Work cross-functionally to identify needs and support internal stakeholders with identification and selection of vendors
- Evaluate and analyze bids, coordinate source selection activities and recommend award
- Provide support to ensure contract objectives align with key stakeholders expectations and provide project status throughout the contract development phases
- Assist in drafting contract documentation and related correspondence for audit and management purposes
- Evaluate vendor documents to determine acceptability based on business unit needs
- Develop plans and support Well’s Diverse Supplier Program
- Program Oversight
- Assist in the design and implementation of Well’s vendor program including the policy, framework and procedures
- Support internal stakeholder in ongoing supplier management, including renewal and service expansion
- Perform and review vendor risk assessments to ensure risk has been appropriately assessed
- Perform analysis of total cost of ownership of services and equipment to make the most cost-effective decisions
- Contribute to the identification of instances where contract requirements have not been met, addressing remedial action
- Lead in the design, creation and delivery of vendor program training to internal stakeholders
- Support Business Continuity Planning, Inherent Risk and Entity Level Controls
- Systems, accounts payable & other financial analysis
- Manage and enhance vendor management systems to improve effectiveness and efficiency
- Manage vendor invoicing and disbursements in the company’s billing and reimbursement systems
- Own management, configuration of, and annual re-evaluation of key financial systems, including expense management
- Perform financial analyses to assess vendor ROI and track against budget
- Create reports from various financial tools and HR system
- Support finance team with various ad-hoc financial analysis requests to support internal stakeholders and departments as well as customers
Qualifications:
- 3 years of hands-on experience with vendor management or procurement (i.e., vendor selection, governance, contract and performance management, sourcing, etc.)
- Proficiency with vendor management software and billing systems (e.g., Venminder, bill.com)
- Proficiency with Excel and/or Google Sheets
- Superb communication, collaboration, and leadership skills
- Strong influencing and negotiation skills, and ability to develop positive relationships
- Analytical skills: ability to assess vendor performance, evaluate contracts, make data-driven decisions and analyze financial data.
- Understanding of risk management principles and ability to identify and mitigate risks associated with vendor relationships and contracts
- Experience in reviewing and managing contracts, including legal terms, and ability to ensure contracts align with business objectives
- Familiarity with relevant industry regulations and compliance requirements
