Job Summary:

Wellesley College is looking for a master multitasker with excellent organization skills and an upbeat attitude to be a part of the Registrar’s Office customer service team. The successful candidate will provide effective and professional assistance to the College community (students, faculty and staff) and visitors, via phone, in-person, and e-mail. They must value and consistently deliver accurate, responsive and timely results and meet daily challenges both as an individual contributor and as a team member. Service Associates must be comfortable with computers, data, general office tasks, and excel at both verbal and written communication. Most importantly, Service Associates must have a genuine desire to meet the needs of others and at the same time consistently adhere to Wellesley’s academic rules and standards.

Service Associate Responsibilities:

  • Staffs the Service Desk serving as a central communication source of academic and policy and procedural information for students and faculty.
  • Responsible for functional areas of expertise. Functional areas are shared between Service Associates. Functional leads are determined in consultation with supervisor.
  • Maintains well-organized and easily accessible tracking systems for transactions in process; provides status updates on transactions to appropriate parties and sends timely notification of completed transactions.
  • Provide administrative support to Registrar’s Office; responsibilities include scheduling meetings, drafting and editing documents (including creating and maintaining spreadsheets of information), returning phone calls and e-mails, coordinating the logistics of large meetings, distributing meeting minutes.
  • Assists and instructs the community with navigating self-service options on various platforms.

Requirements:

  • Associate’s degree required. Prior experience may be considered substitute for education requirement.
  • One to three years of customer service experience.
  • Prior experience in higher education or other non-profit preferred.
  • Data entry experience strongly preferred.
  • Excellent problem-solving skills.
  • Excellent written and oral communication skills; ability to communicate technical information to a non-technical audience.
  • Excellent customer service skills; Skilled at satisfying the needs of demanding clientele and at the same time adhering appropriately to academic policy and department policies and procedures.
  • Excellent time management skills; Demonstrated effectiveness in shifting focus due to shifting priorities and competing demands of the office.
  • Excellent attention to detail.
  • Skilled at checking own work and reviewing the work of colleagues in order to produce high quality, error-free results.
  • Demonstrated competence as a sole contributor and as a member of a team.
  • Develops and maintains excellent relationships with peers in administrative and academic-support positions in order to effectively deliver integrated service to constituents and to efficiently accomplish assigned duties.
  • High level of proficiency with Excel and G Suite.
  • Demonstrated ability to learn and become adept with new software applications in an administrative office setting.
