About this role:

Wells Fargo is seeking an Executive Administrative Specialist supporting a senior leader in the Human Resources Advisory division.

This position will perform diverse, advanced, and confidential daily executive administrative support duties. As a result, this assistant interacts daily with other senior level Wells Fargo leaders and executives.

This role is ideal for an individual who is highly organized, detailed oriented, resourceful, responsive and customer focused, operates with a sense of urgency, organizational and tech savvy and capable of managing multiple priorities.

In this role, you will:
  • Perform various complex and confidential administrative tasks for executives
  • Identify opportunities for improving or implementing processes and tools within executive business management functional group
  • Establish and implement office procedures and controls, handle most sensitive employee and/or customer issues and confidential correspondence
  • Present recommendations for resolving more complex situations and exercise independent judgment and problem solving while developing understanding of the function, policies, procedures, and compliance requirements
  • Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals
  • Interact with employees, senior managers, shareholders, regulatory agents, media, and internal and external customers as needed
  • Perform heavy calendaring, extensive document creation/editing and preparing expense report submissions
  • Coordinate meeting logistics and preparation, managing invitations and facilities and providing detailed data, information and resources to leader and participants
  • Assist with invoice processing with knowledge general ledger lines and/or expense accounts; researching general ledger issues
  • Assist with compilation of research, budget, and statistical data for financial planning initiative
  • Screen phone calls, emails, mail, and visitors; route and resolve information requests
  • Manage all aspects of travel arrangements such as booking, preparing travel itineraries and making changes as needed
  • Coordinate facilities support and floor administration
  • Partner with other administrative professionals to ensure seamless handoff and coordination of duties/tasks/responsibilities in the other's absence and/or in support of the business.
Required Qualifications:
  • 2 years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
  • 2 years of executive administrative support experience, preferred
  • Experience supporting senior level leaders/executives
  • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
  • Advanced Microsoft Office (Teams, Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
  • Excellent technological skills with the aptitude to learn new systems and platforms quickly
  • Experience developing partnerships and collaborate with other business and functional areas
  • Experience writing and editing internal communications, including corporate and executive level communications
  • Experience working in a fast-paced, high-demand environment while balancing multiple priorities
  • Ability to take initiative and work independently with minimal supervision in a structured environment
  • Experience reviewing and preparing expense reports for leaders
  • Experience with Wells Fargo systems such as Workday, Talent Management, HRG, My Concur or GL31 Income statements
