Supply Chain Management aligns with business leaders across the enterprise to deliver advantageous supply solutions with acceptable third party risk. Our global team specializes in strategic sourcing, supplier diversity, subcontract negotiation, procure-to-pay capabilities, and timely supply chain analytics.
We are seeking an experienced individual to lead key efforts within our Supplier Diversity, Sustainability and Procure-to Pay function.
The Supplier Diversity team of professionals is responsible for building relationships within the communities we serve through the development, inclusion, and utilization of certified minority, women, disadvantaged (LGBT, disabled, veteran and disabled veteran-owned) and small business enterprises (MWDSBEs) The Sustainability team is responsible for working with suppliers to embed ESG (Environmental, Social, and Governance) across supply chain.
The Procure to Pay team of professionals is responsible for global delivery of support services to the enterprise including supplier enablement, invoice processing, tax accounting, accounts payable, mail, logistics and corporate travel.
About this role:
Wells Fargo is seeking a Senior Administrative Assistant within Supply Chain Management supporting 2 executives.
In this role, you will:
- Support overall effectiveness of team in performing moderately complex to complex administrative tasks
- Be responsible for compiling information, preparing moderately complex reports, expense accounts and presentations
- Perform complex administrative, transactional, operational, or customer support tasks
- Provide a high level of professional support as well as ongoing ad hoc and project or business initiatives such as planning meetings, tracking deliverables and pulling routine reports
- Assist with selectively referring callers, and answering questions regarding business unit policies and procedures
- Provide subject matter expertise and interpretation of administrative procedures to less experienced staff
- Provide administrative support to managers in the areas of reporting, customer or business documentation
- Interact with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks
- Support more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization
Required Qualifications:
- 4 years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
- Proactively manage calendars by prioritizing meetings and events to maximize time effectiveness and take appropriate actions to keep executives on track with daily schedules; asst the team with scheduling meetings with key partners.
- Manage Leadership team meeting reporting package. Help create content and solicit topics for the discussion.
- Assist with preparation of Town Hall material, and ensures that feedback is obtained across teams for key topics, etc. Help find ways to improve on prior Town Hall’s, continue to get feedback from the broader team regarding what they want to hear about and from whom.
- Proactively schedules prep meeting with the team to make sure we are prepared for certain meetings well in advance of the meeting date.
- Help navigate/facilitate calls to make sure we stay on track and provide detailed notes to ensure alignment and support.
- Process recognition such as anniversaries, birthdays, etc.
- Keep organization charts up to date.
- Help on-board and off-board new and/or terminated employees and contractors.
- Helps the team navigate obstacles to find solutions.
- Assist in making travel arrangements (book flight, hotel, car rentals).
- Assist in planning off-site team meetings.
- Support development and version management of presentations
- Support content maintenance of team sites (Teamworks, Sharepoint)
- Proficient with the software/technology (Excel, Word, PowerPoint, Outlook, etc.) required to support the team.
- Completes expense reports for the executive; approves expense reports for the team.
- Assist with team/location Mac mail and other deliveries as needed.
- Other administrative tasks as assigned in line with role
Job Expectations:
- Currently working in a hybrid return to work format of 3 days in the office and 2 days remote
