PROGRAM ASSISTANT – ALLIED HEALTH

00107M – Range 35, step F: $38,952/annual, $3,246/month - $18.66/hour

Reports to: DIRECTOR OF NURSING

Position Summary:

This program assistant will serve the Allied Health programs offered by Wenatchee Valley College. The program assistant will have extensive involvement with students, staff, the public, and/or agencies in carrying out program activities. This position requires periodic evening and weekend work.

Essential Functions:

  • Provide direct customer service for WVC Allied Health and Nursing programs.
  • Provide information and advice to students, staff, program participants and/or the public regarding program content, policies and activities, recommend alternative courses of action; promote the program on campus with outside organizations
  • Greet and confer with customers in person, over the phone, or in writing to identify needs, provide information, or direct customers to appropriate resources. Explain to customers the requirements related to the WVC Allied Health and Nursing programs. Provide timely and accurate information about programs, admissions criteria, registration, program requirements, and procedures. Evaluate and resolve complaints by identifying issues, researching and applying solutions, and informing customers of the results. Refer customers to specialists for answers, as appropriate.
  • Attend meetings and/or conferences as program representative
  • Serve as liaison between support staff of Omak and Wenatchee campuses for effective administration of Allied Health and Nursing programs.
  • Monitor program activities in relation to established program goals; within established program parameters, determine variance from program standards;
  • Implement program procedures and new operational procedures, as developed.
  • Independently monitor document and immunization manager website regularly (depending on the time in the quarter, this could be daily or weekly), updating as necessary. Independently monitor Omak Nursing student documentation and immunization expirations, notifying students as necessary. Provide comprehensive documentation and immunization reports to clinical facilities, as necessary (usually on a quarterly basis).
  • Independently process correspondence from/to WVC students, staff, faculty, and administration, and to community members; independently schedule room use for nursing classroom and Sim Lab (Mary Henrie Friendship Hall rooms 209 and 208); coordinate Allied Health events and classes in Omak; independently prepare quarterly rosters.
  • Independently monitor and order the online TEAS®V tests available for both campuses, and proctor the test, given up to six times during Spring Quarter, on the Omak campus.
  • Independently prepare NURS 100A schedule for instructor approval. Order appropriate First Aid books for students. Receive applications from students; independently verify content of applications, accept students, and provide registration information to accepted students; independently verify documentation and immunization status
  • Proctor tests, as requested by faculty, generally using Canvas. Monitor students during telecast (ITV) test reviews, as necessary. Independently coordinate scheduling of rooms for Prometric testing on scheduled Saturdays; send/respond to tester emails concerning scheduled testing; notify appropriate people to have appropriate building unlocked and locked at appropriate times.

Qualifications:

Minimum Qualifications:

  • High school graduation or equivalent and two years of office or customer services experience or equivalent education/experience

Preferred Qualifications:

  • Experience creating digital content (such as Word/PDF documents and web and learning management system content as appropriate to the role) in accessible formats.
  • Bilingual to Spanish and English.

Knowledge, Skills, & Abilities

  • Demonstrated ability to use exceptional communication and interpersonal skills demonstrating professionalism, empathy, diplomacy, discretion and integrity in interactions with diverse constituencies.
  • Knowledge of testing procedures and protocol, testing security and confidentiality.
  • High level of proficiency and accuracy in software packages including word processing, spreadsheets and database applications.
  • Experience with PeopleSoft and testing administration software preferred.
  • Quality: Accurate and thorough, prepare detailed reports, evaluate processes to identify ways to improve and promote quality.
  • Professionalism: Approach others in a tactful manner, react well under pressure, treat others with respect and consideration and follow through on commitments.
  • Ability to assess situations, exercise independent judgement, resolve issues and coordinate with IT support services when technical issues arise.

Additional Information

Terms of Employment:

The current vacancy in Allied Health is an 18 month temporary, overtime and benefit eligible position expected to begin as soon as possible. The list established by this recruitment will used to fill this position only.

Physical Requirements:

  • Work is typically performed in an office setting and requires the ability to sit/stand, perform computer data entry, and operate general office equipment for extended periods of time.
  • Must have the ability to use a computer and a variety of office equipment.

Work Schedule & Environment:

  • Work hours are generally 8 a.m. to 5 p.m., Monday through Friday; hours and days may change depending on the needs of the college. Work in a busy office environment with frequent interruptions and distractions.
