Position Summary: This position scans new information, such as progress reports, pathology, procedure reports, etc. into patient’s EMR. This position communicates via telephone, emails or faxes with Physicians/Nurses within WCC and with outside facilities regarding sending and receiving medical records. Work is performed under the general direction of the Patient Access Services Supervisor.
Essential Duties and Responsibilities:
- Scans correspondence, lab results, notes, etc. into the patient’s EMR.
- Retrieves phone messages, faxes, Digifax and responds to, sorts and distributes to the appropriate department.
- Handles release of information; ex. disability, FMLA, insurance and litigation.
- Answers incoming calls for Medical Records.
- Corresponds via telephone, email or fax with Physicians/Nurses/Staff within WCC and at outside facilities.
- Requests patient records.
- Prepares patient records for faxing, mailing, or pick up. Corresponds with Front Desk staff regarding patient pick up.
- Run weekly reports and audits
- Respects the dignity and confidentiality of patients.
- Maintains a good attendance record and reports on time for work.
- Maintains a professional attitude and appearance.
- Complies with clinic safety policy and procedures.
- Possesses good communication skills that lend to a team oriented work environment.
- Attends staff meetings as scheduled.
- Assists with training and orientation of new employees as assigned.
- Performs all other duties as assigned.
Qualifications/Experience:
High school diploma or general education degree (GED); or six months related experience and/or training; or equivalent combination of education and experience.
Must have excellent organization and follow-up skills; excellent verbal and written communication skills; excellent problem-solving skills; ability to organize and prioritize work assignments; ability to handle multiple priorities in a fast-paced environment; ability to analyze situations and respond in a timely manner; ability to participate in multi-functional teams; ability to establish and maintain effective working relationships within The West Clinic. Must be proficient in computer applications including word processing, Microsoft e-mail. Must be able to discern various medical reports so that they can file under proper Document/Category type. Additional hours may be required.
Work Environment/Physical Demands/Travel:
- Typical clinical environment with moderate noise level.
- Ability to stand, walk, for extended periods of time.
- Ability to discern various medical reports so that they can be filed under proper Document and Category type.
- Ability to read and understand simple instructions, short correspondence, and memos. Ability to write simple reports. Ability to effectively present information in one-on-one or small group situations to supervisors, customers, and/or other employees of the company
- Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of US dollars, weight measurements, volume, and distance.
- Ability to apply common sense understanding to carry out simple one-or two-step instructions. Ability to deal with routine situations with only occasional or no changes.
- Ability to lift up to 10lbs
- Some travel may be required.
