Position: Ministry Coordinator
Hours: 15 hours/week
Days: M T W 9-2
Classification: Part-Time, Non-Exempt
JOB SUMMARY:
The primary role of the Ministry Coordinator is to partner with the Ministry Director for overall administrative support, helping people become firmly connected and engaged with the life and ministry of Westside Church. This position administrates our volunteer onboarding process, newcomer inquiries and women's ministry process and systems.

Minimum Qualifications:
- Be a growing Christian with a deepening personal relationship with Jesus Christ who can model this to others.
- 2-3 years in an administrative role
- Enthusiastic, personable and approachable personality
- Strong customer service focus, adept at engaging with individuals with patience and empathy
- Demonstrate strong communication skills, administration, organizational strength and creative abilities
Additional Preferred Qualifications:
- Demonstrate the ability to manage multiple tasks efficiently.
- Proficiency in office equipment and software, such as Microsoft Office (Word, Excel, PowerPoint, Outlook), and familiarity with church management software
RESPONSIBILITIES & ASSOCIATED TASKS:
Connections Coordination 25%
- Creating an environment and managing our system for connecting new people to community groups, ministries, and Pastoral Care through Westside Church.
- Reporting directly to the Ministry Director to continuously improve and develop strategies for helping people connect.
- Overseeing all Connect materials and follow up with these points of communication: online connect forms, Info center inquiries and materials, etc. around the campus and online.
- Ensure kiosks for scheduled ministry events and atrium promotion are set up for Sunday services.
Ministry Groups Coordination- 35%
- Administrative support to the Ministry Director for all things related to Women’s Ministry and Pastoral Care.
- Administrate the registration process for each women's bible study session and coordinate related tasks per session.
- Assist in set- up for Tuesday/Wednesday Bible Study groups.
Volunteer Process Coordination- 35%
- Administrate Westside’s Volunteer onboarding process, online volunteer applications, and background check process.
- Work with all department “Connectors” to ensure a consistent volunteer onboarding process with all departments of Westside.
- Manage volunteer team data and groups in Planning Center to ensure proper organization and communication to all staff, ministry teams and congregation.
Administrative –5 %
- Participate in Staff Connect/Brunch, Monthly Staff Prayer & other staff functions as requested
- Maintain up-to-date calendar and general communication with staff
- Answer all e-mail, phone calls and Teams messages in a timely manner
SUPERVISORY:
Immediate Supervisor: Ministry Director, Candace Nystrom
Supervisory responsibilities for: None, but will work closely with other staff “Connectors” in the volunteer onboarding and maintenance process.
