Description
Status: Full-time, Year-Round, Exempt
Responsibility: Low level of supervision needed. High level of operational decision making.
Reports to: Assistant General Manager
Skills:

• Basic Safety Skill - Observe safety rules, safely operate equipment, food safety consciousness, CPR and First Aid.
Effort: Medium - Walk and stand for extended periods of time. Bend, reach, push, pull, lift and carry up to 50 pounds.
Work Conditions: Level 2 – Mostly indoors, air conditioning, variable schedule based on business demands.
Duties:
• Responsible for prompt response of inquiry calls and emails.
• Meet with Member and potential clients to view different spaces around the Club.
- Determine the member/clients’ needs and space requirements and date availability.
- Coordinate all details regarding event with member/client.
• Prepare and send event contracts, collect necessary deposits, guest counts and guarantees.
- Arrange for coordination of vendors, florists, bands, decorations, etc.
• For all weddings, prepare a folder available at the front desk with all documentation regarding tents, fire-related documents and vendors proof of insurance.
• Update forecast of estimated F&B revenues on a weekly basis.
• Suggestively sell menu items that are high profit and/or repeated on each weeks BEO’s to assist with food cost and kitchen labor percentages.
• In conjunction with the AGM, prepare and distribute weekly BEO packets.
- Attend weekly BEO meetings, communicate guest counts, guarantees and last-minute changes with team.
• Be present and visible day of event.
- Inspect banquet room prior to function to verify the room set-up and event timeline is correct.
- Work in tandem with the F&B Director/Banquet Manager/Captain/Culinary Team to ensure a seamless event.
- Greet member/client as they arrive at event.
- Check in with member/client during event to ensure satisfaction and to respond to additional requests – EXCEED EXPECTATIONS!
• Post Event Duties
- Communicate with F&B Director/Banquet Manager/Captain to ensure the event will be broken down and room will either be reset or restored to its original condition.
- Prepare final bill, review with AGM and send to member/client.
- Follow-up all events with a handwritten Thank You note on club stationary.
- Proactively follow up to focus on rebooking repeat or potential repeat events.
• Attend and assist at high profile Member Events and holidays.
• In shoulder season, assist F&B Director (Thanksgiving/Christmas Stroll/Onboarding new staff)
• Other duties as assigned by GM/AGM.
Position Summary:
The Private Event Sales Manager is responsible for the booking, planning and execution of all events and weddings. Primary focus is to communicate all event details with appropriate departments and to ensure seamless planning with each client/member.
Position Notes:
As this is a highly visible position, it is necessary for the Private Event Sales Manager to maintain an “on stage” persona at all times. A cheerful, helpful disposition and a personal desire to satisfy the needs of Wianno members and guests is essential for success.
