What are the responsibilities and job description for the Monument Sales position at Wilbert Funeral Services?
Develops and maintains sales leads/customers for the monument shop. Manage the manufacturing operations to ensure continuity of the Memorial product lines. The position is responsible for increasing market penetration, evaluating market potential, pricing and bringing a high level of professionalism and knowledge to the efforts of the company. Adheres to and promotes the SI product line values by performing duties in a manner that are consistent with being a team leader and supports the continued growth of the company.
Essential Job Functions
- Actively involved in the development of new accounts, account strategies, product pricing to ensure a high level of customer satisfaction with the company’s SI Memorial products.
- Develops and increases sales revenues
- Prospect, develop leads and follow up using contacts and past relationships with those in the industry.
- Manage the operation of a retail monument shop. Have experience in all aspects of monument manufacturing.
- Manage labor and expenses to achieve a profitable operation.

MORNING TASKS:
- Return calls received overnight.
- Respond to emails received overnight.
CUSTOMERS:
Walk-In Customers
- Record the visit on a lead sheet.
- Meet and greet customers upon arrival.
- Determine their needs.
- Answer all questions concerning monument costs, setting questions, design options.
- Assure customer that cemetery will be contacted regarding regulations& fees.
- Prepare contract at time of sale and accept payment. Record manner of payment on contract with credit card form or copying check to back of office copy of contract. Mark contract “paid in full”.
- If customer is making payment, collect down payment and record on contract. Prepare payment form for customer to track payment and keep copy with contract.
- Prepare sketch using standard design or personalized design.
- Prepare setting form with detailed information regarding cemetery location, contact person at cemetery, details regarding vase placement, name positions, fees to be paid at time of setting or prior to setting, and the setting fees that will be paid to our setting man.
- Mail contract, setting form, sketch, payment, and any note concerning unusual facts about this order to Chillicothe. Maintain a copy of all of the above in the office, along with all back-up paperwork (initial lead sheet, notes taken during conversations with the customer and cemetery sextons, etc.).
- File in Active Contract files.
Phone and Email customers
- Record the conversation on a lead sheet.
- Respond to the customer’s initial questions.
- Follow-up by researching cemetery to obtain contact person’s name & telephone number. Contact the cemetery sexton to determine fees and regulations. Contact the customer to relay this new information.
- Prepare sketches showing the customer how the marker will look.
- Kat Williams will fax all on-line quote requests for the state of Missouri to Cass County Monument. We will respond to the request with pricing if the cemetery and/or customer live in our area or we will forward the request to the retail shop nearest the cemetery and/or customer for a response to this potential customer.
Wholesale Customers
- Provide wholesale cost information to funeral director.
- Maintain close contact with funeral director to meet the needs of his clients.
- Prepare contract and sketches for the funeral director to present to the family.
- Once funeral director has received the approval of the family, send all paperwork including the contract, setting form, and sketches to Parsons.
- Respond to the funeral director to answer the questions that the family may have while the work is progressing.
- Meet the demands of pleasing a family that you will never meet.
- Do all tasks in a timely manner.
After The Sale
- Enter the customer’s information in SMT (Sales Management Tool).
- Enter the dates for follow-up tasks (i.e. has acknowledgement been received, has sketch been completed, has sketch been approved, has granite arrived in Chillicothe, has VA bronze been picked up by setting man, have cremains been taken to setting plant, etc.).
- Maintain contact with layout department concerning artwork needed and approval of sketches.
- Run weekly SMT follow-up report to determine which tasks have been completed and which tasks are outstanding and need to be addressed.
- Continue to keep in contact with customers regarding approval of sketches and when the work will be completed.
- Follow WIP reports to track orders.
- Stay in contact with our CSR concerning any problems or concerns regarding the order.
- When our setting man contacts us with the set date, record the date on the contract and in SMT, and contact customer to tell them the monument is ready for family viewing.
Other Customer Requests
- A customer’s monument is settling, leaning, or in need of repair. We will obtain all the information our setting man will need to locate the monument and ask him to provide us with the cost to perform this work. We will then contact our customer with this information.
- A customer’s vase is loose or needs to be replaced.
- A customer wishes to have their father’s VA marker placed at the foot of the grave or attached to the back of an upright monument.
Lettering Contracts
- Prepare lettering contract with detailed information showing lettering already on the stone, the size and color of the stone (may require going to the cemetery), where the stone is located (often requires contacting the cemetery sexton), and the new lettering to be added.
- Mail all paperwork with payment to Chillicothe.
- File lettering contract in “Lettering Contracts” file.
- When contract invoice is received, contact customer to inform them that lettering has been completed. File with completed contracts.
Petty Cash
- Keep all receipts showing expenditures made in petty cash bag.
- Prepare detailed petty cash report and mail to corporate office for reimbursement. Maintain copy in office file.
Miscellaneous
- Log in the date that acknowledgements are received by customer name and order number. Check this off in SMT and enter the date.
- Log in the date that contract invoices are received, attach to all paperwork pertaining to order, and file in completed contracts.
- Mail all invoices for phone service, mowing and snow removal, office supplies, office equipment, advertising, pest control, and septic service to corporate on the same day received. Keep copies of each in office file.
Office Notes
- Each day, all activities are recorded in Office Notes on the computer, by each employee.
- All activities regarding an order are recorded on the acknowledgement page of the contract.
- All outgoing mail is recorded in the mail file, describing each item that was mailed and to whom.
Inventory
- Closely monitor inventory.
- Closely check monthly inventory control sheet prepared by our CSR.
- Keep inventory clean.
- Prepare Inventory Movement Sheet if item from inventory has been sold to customer and fax copy to CSR.
- Maintain Display Book with photographs of inventory stones and retail prices.
- Display vases, porcelain photos, etc. in showroom.
Office and Grounds
- Vacuum and dust office, back room, and restroom. Clean windows.
- Keep office and waiting room attractive and free of clutter.
- Display vases with floral arrangements.
- Take care of office plants with regular watering and maintenance.
- Display the American flag.
- Schedule regular mowing and snow removal.
- Assure that septic system is cared for by professionals.
- Maintain all office equipment.
- Display brochures and porcelain photographs.
- Conserve electricity and water.
General Office Tasks
- Fax Daily Sales Report to Parsons each evening and monthly sales total on last day of the month.
- Fax time sheets.
- Take all outgoing mail to post office at end of work day.
