Position Summary
W&M Libraries is seeking a creative and detail-oriented Library Publishing Assistant to join our Publishing & Open Access Team. In this role, you will play a crucial role in the final stages of the open access monograph publishing process, ensuring that text, images, sound files, etc. are arranged aesthetically and consistently across various digital materials.
This is a temporary, hourly position for sixth months, ideal for individuals with an interest in librarianship or publishing.
Text layout and formatting
- Arrange text and images according to specified design and layout standards
- Ensure consistency in font styles, sizes, and spacing throughout the documents
- Collaborate with the Publishing & Open Access Librarian to achieve desired visual presentation
Proofreading
- Conduct thorough proofreading to identify and correct typographical errors and layout inconsistencies
- Maintain content accuracy
File preparation
- Prepare files for digital distribution, adhering to technical specifications (through the platform Pressbooks)
Adherence to style guidelines
- Follow established style guidelines and branding requirements to maintain a cohesive visual identity
Quality control
- Perform quality checks on final layouts to guarantee accuracy and adherence to project requirements
- Troubleshoot and address formatting issues promptly
Conditions of Employment
Applicants must successfully pass a background check. This position is a temporary (hourly) position not to exceed 6 months. All hourly employees are subject to the limitations of the Virginia Manpower Control Program and total hours worked many not exceed on average 29 hours per week, over the course of a twelve month period beginning May 1 each year. This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications
- High School graduate or equivalent
- Strong attention to detail and commitment to maintaining high-quality standards
- Excellent communication skills and ability to collaborate across academic disciplines
- Demonstrated proficiency in computer skills and data entry to include Internet browsers and Microsoft Office: Word, Excel, PowerPoint, and Outlook
- Ability to work independently
Preferred Qualifications
- Bachelor’s degree from an accredited institution
- Familiarity with library or publishing workflows and processes
- Prior experience working in a library setting
