Location and Flexibility
Our Talent Coordinator/Sourcer is an integral part of our Employee Experience Team at WillowTree. To help retain our deep culture of collaboration, this role will maintain an in-office presence in a hybrid three days a week capacity in our Charlottesville, VA office.
The Opportunity
We’re looking for a Talent Coordinator to join our incredible Talent Acquisition team. You’ll play an integral role in our organization’s growth and hiring success. You’ll work directly with candidates and interviewers across the global organization to coordinate a best-in-class hiring experience from application to onboarding. You’ll schedule and coordinate interviews, provide office tours, manage candidate logistics, and contribute to talent operations and process improvements to enable the success of our hiring.
Responsibilities
- Partner with Recruiters and Hiring Managers to plan, organize, and execute interview logistics
- Coordinate and schedule candidate interviews and debriefs for cross-functional roles across our global offices
- Navigate dynamic calendars to find earliest availabilities for interviews (in-person and virtual) involving multiple segments and interviewers
- Provide hands-on coordination and logistical support for candidates and interviewers throughout the recruiting process, including office tours, agendas, itineraries, and accommodating last-minute changes/requests
- Partner with executive assistants to book executive interviews along with other WillowTree/ Poatek teams such as Travel, IT, and Facilities to ensure a comfortable and seamless interview experiences including detailed travel itineraries, candidate lunches, and conference rooms
- Thoughtfully prepare candidate correspondence including interview confirmations, calendar invites, candidate surveys, and more
- Field questions and maintain frequent communication with interviewers to provide up-to-date information, reminders, and accommodate last-minute requests
- Track the interview team's capacity to meet hiring demand; maintain up-to-date interview pools based on training and readiness
- Increase TA's overall velocity by conducting reference checks, managing expense reports, research and talent mapping, setting up reqs, editing job descriptions, and more
- Document processes and best practices within the company's Wiki for both TA and interviewers
- Review and analyze candidate surveys; action ways to continuously improve our candidate experience and recruiting process based on feedback
- Input and audit data among systems (e.g. HRIS and ATS) to ensure accuracy; troubleshoot as needed
- Reinforce system hygiene and data integrity across tools and among the team; flag missing or incorrect data
- Identify and implement strategies to improve candidate experience, interview operations, and TA enablement
Qualifications
- 1 year(s) of experience within talent acquisition, recruitment coordination, and/or relevant administrative or coordination roles
- Experience scheduling complex, dynamic calendars and overcoming conflicts
- Can thoughtfully plan and organize multi-session interview days with high attention-to-detail and a focus on candidate experience
- Can effectively communicate with all levels of candidates and stakeholders (including executives) across a global organization
- Can anticipate and get ahead of the needs, questions, and expectations of candidates and stakeholders to prevent chaos and confusion
- Excellent time-management, prioritization, and organization skills to handle multiple incoming requests with a sense of urgency
- Can resourcefully gather information to resolve blockers and independently problem solve
- Approaches obstacles with optimism, flexibility, and solutions
- Can serve as a positive brand ambassador for the organization
- Strong writing skills, ensuring clarity and concision
- Proficient in G-Suite (e.g. Google Calendar)
- Ability to be in-office during candidate on-site interviews
Bonus Points
- Experience with an applicant tracking system (e.g. Greenhouse) or scheduling software (e.g. ModernLoop)
- Experience with creating and analyzing reports
- Experience with other tools such as LinkedIn, Gem, Ashby, Zoom
- Experience within Talent Acquisition Coordination and/or Operations at a global company focused on technology and/or digital products
