What are the responsibilities and job description for the Receiving coordinator position at Wilmington Health?
Purpose :
The Receiving Coordinator will verify all incoming and outgoing shipments (including Cold Chain storage), verify & disperse PPE orders for 1202 departments for COVID-19 protocols, maintain various records per local, state, federal guidelines.
Essential Duties / Responsibilities :
- Sign for custody & responsibility of all incoming shipments and freight (ordered through company Purchasing department or independently by individual departments)
- Count, or measure items in all incoming and outgoing shipments, verify sight count against packing slip orders, and other records
- Unpack and examine incoming shipments, reject damaged items, record shortages, and correspond with shipper and Purchasing personnel to rectify damages and shortages for company Loss Prevention
- Re-assemble, verify for accuracy and deliver PPE orders from PPE Central distribution location at 3147 for 1202 departments while maintaining 100% accuracy and accountability per Executive directive for COVID-19 protocols.
- Maintain & be responsible for multi-year medication shipment records in accordance with local, state, and federal guidelines
- Maintain & be responsible for multi-year Controlled Substance medication records in accordance with local, state, and federal laws
- Daily recording of Cold Chain storage temperature storage log in accordance with NCIP (North Carolina Immunization program)
- Maintain & be responsible for multi-year temperature records for Cold Chain storage / NCIP in accordance with state program guidelines
- Generate internal Open Shipment orders in Procurit system for medications and stationery supplies to be dispersed company-wide
- Maintain & be responsible for physical inventory of company products & medications for internal Open Shipment requests
- Responsible for quarterly inventory of Open Shipment medications for reconciliation with Purchasing Department.
- Responsible for pulling expired medications from Open Shipment inventory and coordinating reverse logistics for secure medication returns with 3rd party companies & shippers.
- Coordinate with Department Managers or key Department personnel for delivery and transportation of NON- Purchasing Department ordered items
- Responsible for storing returned items and communicating miss ordered items to Purchasing personnel for correction
- Responsible for preparing returns for vendor or third party pick up
- Responsible for executing Toner Recycling program and preparing timely outbound shipments
- Order and maintain Receiving area supplies for daily use
- Maintain open channels of communication between Facilities Services and Purchasing personnel regarding changes to routes, effecting the outbound flow of freight & supplies
- Communicate with departments if there will be a service delay by shippers due to inclement weather
- Maintain a daily digital delivery log
- Maintain and update Central Receiving area MSDS binder & Spill kit
- Serve as an internal courier for 1202 departments shipments
- Responsible for the upkeep and appearance of the dock and warehouse
- Demonstrates behaviors consistent with the Company's Vision, Mission, and Values in all interactions with customers, co-workers, and suppliers
- Adheres to all company safety standards
- Additional misc. duties as deemed necessary by management
- Responsible for quarterly inventory of Open Shipment medications for reconciliation with Purchasing Department.

Other Duties :
- Assist Facility Services in any area as needed or required
- Act as back up for mail room attendant
- Transport items to other Wilmington Health locations if needed
- As assigned by the manager

- Ability to kneel, bend, and / or reach above the shoulders
