Responsibilities
The ET Temporary will provide a broad range ofprehensive administrative and proactive executive support to the Director, Treasury Operations.
Specifically, s / he will be responsible for the following :
Time Management and Support :
Provide with the highest level of discretion, a wide range of executive assistance and administrative support to the Director of Treasury Operations, including taking a proactive role in managing the schedule and prioritizing the workflow of the Department to ensure effective time management.
This includes arranging appointments and missions, independently resolving scheduling conflicts, screening, and prioritizing iing emails, correspondence with internal and external clients, and monitoring activities to ensure appropriate follow-up.
- Ensure sensitive documents which require signature are of high quality and adhere to administrative and operational guidelines;
- handling clearance procedures and finalization of documents including the incorporation of amendments into the documents;
writing minutes / decision notes and other correspondence; making sure relevant documents and papers are available for meetings.
Prioritize and channel telephone calls and mail, monitor and follow up on issues and priorities, and ensure that appropriate consultations take place.
Prioritizing and channeling inquiries to the appropriate business units.
- Support the director and managers in the timely delivery of high-quality reports and presentations.
- Initiate and coordinate travel arrangements; provide general research support and independently respond to diverse inquiries and make decisions when multiple courses of action are possible.
- Maintain filing and record management for the Office of the Director. Provide leadership on quality control of documents to ensure consistency andpliance with Bank standards and procedures as well as establish and maintain effective monitoring, tracking, filing and retrieval systems.
Other Duties :
Provide guidance and, as necessary, on-the-job training to other junior administrative staff. Participate in the hiring process;
exercise functional responsibilities in delegating and coordinating work assignments; and establish / implement general office procedures and guidelines to ensure a smooth flow of administrative work to support business managers and in collaboration with the department managers' administrative assistants.
- Provide leadership of department administration (3 divisions in HQ and 2 country offices in Chennai and Sofia) and contribute to the end-of-year performance evaluation.
- Responsible for the department's overall administrative timeline, organizing business and social gatherings and other ad-hoc events.
- Keep others informed by providing relevant information, reports, or status updates.
- Undertake other duties and ad hoc assignments that may be assigned occasionally, including during absences and heavy work periods.

Selection Criteria
The successful candidate should have the following qualifications :
- Minimum Education / Experience : bachelor's degree in administration or other related field and at least 5 years relevant work experience in a large international organization, or equivalentbination of education and experience.
- Excellent organizational and administrative skills, demonstrated ability to organize, prioritize, schedule, plan and coordinate work and other activities internally and externally.
- Solid experience and demonstrated knowledge of the World Bank Group's organizational structure, administrative processes, policies, and procedures are preferred.
- Proven track record in managing confidentiality. Strong personal ethics and sound judgement.
- Reliability, resourcefulness and flexibility.
- Strong attention to detail and to maintaining high-quality standards.
- Proven ability to create and work in a team-oriented, multi-cultural environment, to perform effectively in a constantly changing environment withpeting activities and demands, and to effectively serve as a team member.
- Effective analytical, research and problem-solving skills and the ability to work independently and make judgments and decisions with minimal supervision.
- Solid experience in MS Office suite including Word, PowerPoint, and Excel.
- puter savviness : sound knowledge of all relevantputer software, including basic functions of Bank standardputer applications (SAP, ICAM, Webex, Microsoft Teams), and the ability to help organize data and information retrieval systems.
- Fluency and strongmunication skills in English, including ability to draft, proofread and edit correspondence.
