POSITION OVERVIEW
The Front Desk Receptionist is responsible for assisting all walk-in customers and guests, and directing all incoming phone calls professionally. The Front Desk Receptionist is responsible for assisting patient pickup up orders, and for coordinating the internal Employee OTC Purchase program. This position also provides administrative support to a variety of other positions and completes special projects as needed. The Front Desk Receptionist maintains knowledge of all company divisions, product lines and services, and uses this knowledge to assist customers and guests.
Essential Job Functions
- Responsible for efficiently answering and directing incoming phone calls using multi-line phone system
- Greets visitors, guests and patients upon their arrival, and ensures waiting area is clean and comfortable
- Assists walk-in and curbside patients with prescription pickups and directs other front desk traffic as needed
- Demonstrates general knowledge of Standard Operating Procedures (SOPs), including those that relate to regulatory inspections procedures, and is familiar with calling trees for regulatory visits
- Appropriately handles patient and physician information according to current HIPAA guidelines
- Coordinates Pharmacist counseling when patients have medication questions
- Sorts incoming mail and posts outgoing mail prior to pickup
- Assists customers with supplement purchases and keeps display shelves stocked
- Oversees Employee OTC Purchase program, including payment processing and order pickup
- Schedules interviews for open positions within the pharmacy, assists with calendar invitations and meeting room reservations
- Provides general administrative support, which includes tasks such as assisting with filing, preparing labels, copying documents, ordering office supplies, stocking guest refrigerators and similar duties
- Trains back-up Reception team on new front desk functions, policies and procedures
Additional Duties
- Provides support to Innovations Group, Worldlink Medical, MedQuest Testing Services and Medical Horizons as needed, including but not limited to, preparing doctor kits, assisting with packing for out-of-area events, and processing book orders
- Assists with special pharmacy and administrative projects upon request and as time allows
- Straightens up main lobby and Employee Lounge at the close of each day
- Assists with interview scheduling for openings outside of the pharmacy
- Provides as needed support to PCS Department by performing payment issue outreach and resubmitting overdue renewal requests.
- May occasionally require extended hours to accommodate company-sponsored events
