Why we're hiring:
This new role provides comprehensive high level administrative, professional, and project management support to the Global People (HR) team executives and Global Practice area leads located in NY. This is a diverse and interesting role for someone who likes to learn and do multiple activities in support of the People organization’s multi-year transformation. In addition to traditional admin activities such as calendar management, travel and expenses, the role is also responsible for operations coordination and project management.
The types of activities may include onboarding global executives, maintaining content on HR’s intranet site and managing small projects. We are looking for a confident communicator with the maturity, discretion and presence to work with all levels. Ideally, you have a strong interest in Human Resources, Marketing or the Media industry, a curiosity that drives you and are willing to roll your sleeves up to support the team.
What you'll be doing:
- Manage schedules with an eye for detail and accuracy; coordinate meetings, resolve scheduling conflicts; support team with personal and business time management
- Periodically arrange large meetings and trainings
- Assist with travel plans, itineraries and related expense management (Concur)
- Provide assistance with presentations and correspondence content
- Support the development and maintenance of a Global People intranet site (Sharepoint) for HR employees and contribute to development of content for Practices
- Coordinate key team meetings for some People Execs, set and communicate agenda and gather all relevant meeting materials from various stakeholders; keep meeting minutes and action items.
- Partner with HR Program leads to develop project plans and follow up with teams to update on status and issues
- Help develop a process for Global Executives located in North America for onboarding new hires and internal transfers
What you'll need:
- At least 3 years relevant administrative support or project coordination activities
- Previous experience managing projects; project management training is a plus
- Positive, execution focused with desire to learn, build and innovate
- Interest in Human Resources; previous experience is desired but not required
- Excellent interpersonal, organizational, and verbal and written communication skills
- High level of proficiency with all Office applications (Outlook, Word, Excel, and PowerPoint) including MS Teams
