Key Responsibilities: 25% IMPLEMENTATION MANAGEMENT: Leads and manages the implementation through to the delivery of the new capabilities, realization of benefits and implementation transition to ongoing operations. Utilizing the needs of global process owners, plans and designs the implementation and proactively monitors its overall progress, resolving issues and initiating corrective action where appropriate. Identifies project dependencies across the implementation. Reviews and consolidates all project plans developed for each project within the implementation. Manages effects on related sub-projects. Works with stakeholders across all offices to ensure highest priority and highest business value projects are resourced appropriately. Facilitates the gathering of information required to estimate program cost, resources, time and deliverables. Prepares all project management baseline products. Prioritizes efforts for those programs that will be broken down into multiple projects. Ensures that the program outcome reflects the goals of the partnership. Manages entire implementation life cycle from setup to delivery. Project/program priorities are agreed upon with global and local stakeholders/leadership teams. The implementation plan is consolidated for easy interpretation by leadership. Prioritization of projects. Implementation outcome meets the needs of the partnership. Development of key metrics to measure the effectiveness of our teams and efficiency of our implementation. 20% RELATIONSHIP AND VENDOR MANAGEMENT: Develops and maintains productive working relationships with key stakeholders including Partnership entities (Support Offices, VisionFund, National offices, regional offices), business owners/SMEs, program sponsors, vendors (workday and collaborative solutions), and key other key clients. Provides strategic guidance and insight for the mission critical workday project Evaluates and oversees vendor activities, including the implementation partner and Workday. Provides advice and counsel to the vendor decision-making, contract development processes, or issues. Works with vendors on escalated issues. An effective and productive strategic working relationship with all project team members, program sponsors, business owners, vendors and key clients. Vendors selected and their performance provide the required results to meet business needs. Escalated vendor issues are resolved. 15% ONGOING WORKDAY OPERATIONS OVERSIGHT: While offices that are implemented will take responsibility to run the system, the Workday Project Director will confirm that systems and business processes are accurately reflecting expectations set during implementation and that data remains clean. Upon completion of the project, proper knowledge management resources and trainings are completed, ensuring system sustainability is achieved. Business processes are reviewed to ensure that what was planned functions as needed in operations Data cleanliness is prioritized with clear audit procedures to ensure that implemented data stays accurate and is input into the system in a timely manner. As operations continue to evolve, partnership offices have consultation in how they will be able to utilize upcoming modules. System sustainability is prioritized via centralized knowledge management. Ongoing operations teams receive full training materials for all aspects of Workday The implementation is completed with a centralized tool that allows for scalable, agile, yet consistent processes and changes across a very widely dispersed population. 10% BUDGET AND RESOURCE MANAGEMENT: Manages implementation resources – people, budget, and third-party vendor time. Manages the implementation budget, monitoring the expenditures and costs against benefits as the program progresses. Estimates costs associated with a projects/program including physical, financial and human capital costs. Integrates cost baselines from multiple projects into overall implementation cost budget. Refines implementation cost estimates and confirms funding sources. Monitors and controls the actual cost of a project versus the budget. Defines and evaluates factors that may potentially cause cost changes. Conducts in-depth root cause analysis of project/program budget. Identifies, secures, and coordinates implementation of internal and external resources and expertise as appropriate to achieve program objectives. Works with other Project/Program Managers to effectively align resources across projects. Negotiates changes in project resources as necessary to achieve objectives and timelines. Collaborates with functional areas in the supervision of project personnel, which includes work allocation, training, and problem resolution. Overall program budget is estimated, tracked, monitored and controlled. Funding provided and managed based on estimated costs. Implementation teams are staffed appropriately (right number of resources with the required skills and competencies from internal/external sources). Team members are aware of their assignments and are evaluated on their performance. 10% CONFLICT/PROBLEMS AND RISK MANAGEMENT: Negotiates conflicts and resolves issues that arise. Acts as a mediator between stakeholders and team members. Resolves any issues and solves problems throughout the project life cycle. Identifies the elements of risk in the implementation. Analyzes and prioritizes implementation risks and assesses its potential impact to the partnership. Develops and maintains risk plans, processes and systems in order to mitigate risk Maintains issue list, proactively escalating issues to project and departmental leadership to mitigate risk. Recommends and takes action to direct analysis and solution of problems. Implementation runs smoothly and all stakeholders are satisfied with results. Implementation risks and mitigation strategies are identified, documented, executed and tracked. Consolidated and prioritized project risks. 10% STANDARDS, POLICIES, PROCEDURES AND COMMUNICATIONS Develops/ communicates project management standards and best practices with project team, steering committee and key project stakeholders Advises leadership and/or business executives at the highest levels about the project portfolio, status and resource planning. Assesses the effectiveness of the interaction and communication with the client team. Established industry best practice policies, procedures and standards. An effective communication strategy and plan is created and implemented. Business and IT Leaders are informed of progress against goals. 10% COACHING/MENTORING: Provides leadership, guidance and mentoring to Implementation Lead and Project Teams and workstreams. Transfer of knowledge to team members. Leadership provided to project managers and team members. Required Professional Experience At least 10 years in IT/Business Industry enterprise-wide project management experience At least 5 years’ experience in leading and managing complex organizational relationships A minimum of two successful end-to-end implementations of Workday, including modules such as recruitment, talent/performance, advanced compensation, payroll, benefits, and on-boarding in an international organization. Experience in multi-cultural and cross cultural leadership Strong familiarity with project management software Strong familiarity with budgeting, estimating and assessing project risk Experience in developing and deploying project best practices, policies, procedures and processes Required Education, training, license, registration, and certification A degree in a related field Specialized training in projects management – PMP Certification or Prince2 Certification Preferred Knowledge and Qualifications Travel and/or Work Environment Requirement The position requires ability and willingness to travel domestically and internationally up to 20% of the time to any country in which World Vision operates Physical Requirements The ability to work in a remote and/or office environment in front of a computer for extended periods of time, including calls outside of typical business hours.
