Position Overview 

The Fleet Coordinator facilitates efficient and productive fleet operations by maintaining appropriate inventories, optimizing asset utilization and availability, and systematically and accurately documenting acquisitions, distributions, and maintenance records. This position reports to the Director of Fleet Operations.

Duties & Responsibilities

  • Communicate daily with crews and supervisors/managers to resolve fleet logistical and maintenance issues
  • Receive new shipment of materials and supplies, reconciles shipment with purchase
  • Develop and maintains a system to record all transactions occurring in the acquisition, receiving and distribution of supplies, equipment, and materials used in completion of work order requests
  • Ensure that each vehicle has the proper tools and in the quantities needed
  • Assist with onboarding and disposal of fleet assets and loading and unloading of tools and material
  • Liaise with shop to schedule preventative maintenance and repair of tool and equipment
  • Enter transactions into the inventory management software as well as the manual log of items delivered and issued to job/employee
  • Inventory stock on hand, prepares ordering data, maintains records for control purpose and use analysis, meets with salespersons on new products
  • Stock new inventory in applicable building/location
  • Maintain clean and organized inventory in buildings and yard
  • Prepare tool and equipment usage reports (daily/weekly/monthly)
  • Schedule and coordinate quarterly physical inventory counts
  • Define and follow standard policies and procedures to ensure internal inventory reporting requirements are consistently met; Develop and document internal processes and workflows
  • Identify and implement technology and tools to improve parts distribution/usage tracking
  • Create Electronic Purchase Orders, subject to approval by Fleet Manager, then match invoices to purchase orders
  • Participate in department meetings, staff meetings and other related activities
  • Interface with vendors, resolving issues related to contract management, equipment orders, maintenance, schedules, and billing
  • Procure goods such as parts for maintenance shop and various tools
  • Perform other related duties as necessary or assigned

 

Requirements

  • High school diploma or equivalent required
  • 2 years experience in an asset management or inventory protection role required
  • Proficient with Microsoft Office especially Excel and Google Suite
  • Proficient with Fleet Management Software; experience with Equipment 360 and/or HCSS is a plus
  • Ability to manage multiple priorities/tasks simultaneously and work carefully and with attention to detail in a fast-paced environment
  • Must be able to operate a forklift
  • Excellent verbal and written communication skills; Ability to clearly, professionally, and effectively communicate and interpret technical terms
  • Must be organized, resourceful and proactive
  • Ability to take initiative, anticipate needs, and ask for clarification where needed
  • Positive “can-do”, results/solutions focus and attitude
  • Proven ability to build and maintain ongoing customer and vendor relationships to effectively interact with end-users in identifying and resolving issues

 

Physical Requirements:

  • Extended periods looking at computer monitor
  • Prolonged periods sitting at a desk and working on a computer
  • May experience long hours of standing and moving
  • Must be able to lift a minimum of 25 lbs. and perform repetitive physical motions of bending, standing, climbing, driving, and walking.
  • Ability to work in a non-climate controlled environment, in inclement weather
