Requirements
ROLE
This role will provide support to the Legal Department by processing time-share owner related correspondence, as well as managing the processing of company contracts.
RESPONSIBILITIES
Owner Correspondence Job Description
• Process, sort, and scan all timeshare owner-related correspondence (“Owner Correspondence”) received by the Legal Department daily.
• Input all Owner Correspondence into company database (Cornerstone).
• Review each Owner Correspondence and note the account in the database for any internal action.
• Work closely with our leadership and business units to research and address each complaint contained in each Owner Correspondence and obtain relevant supporting documentation.
• Prepare an appropriate response to each Owner Correspondence, as necessary, and process the response in a timely manner.
• Scan and input company response letter to Owner Correspondence into the database (where appropriate) and save all response letters and supporting documentation to the Legal Department server.
• Assist the General Counsel and Assistant General Counsel on various Owner Correspondence related projects, as necessary.
• Cross-train in the timeshare owner bankruptcy tracking processes (and related software) and the timeshare marketing compliance monitoring processes (and related software).
Contract Management Job Description
In this position, the person will:
• Work closely with our leadership and business units in managing the contract lifecycle from contract review/preparation, through assisting the General Counsel and Assistant General Counsel in negotiations, and ensuring all appropriate approvals are received for contract execution.
• Ensure all fully executed contracts are entered into the contract repository, Share Point, along with inputting all key terms.
• Ensure all business units are informed of upcoming relevant contract dates, including termination dates and renewal notifications.
• Review contractual documents to ensure adherence to company policies and regulatory requirements.
• Manage the Share Point site on an ongoing basis.
• Liaise with the Project Management Business Unit, as necessary
• Assist the General Counsel and Assistant General Counsel on various contract related projects, as necessary.
REQUIREMENTS/QUALIFICATIONS
• Bachelor's degree or equivalent work experience
• 2-3 years of contracts experience in commercial contracts
• Strong business and customer service writing skills
• Strong verbal aptitude
• Strong sense of accountability and urgency
• Proficient in Microsoft Office Products
• Ability to maintain confidentiality of internal information
• Attention to detail
• Well organized and self-starter
• Strong collaborative skills and enjoy working with business units and leadership
• Ability to spot red flags and deal with them efficiently and professionally
• Good leadership skills, with the highest degree of personal and professional integrity and ethics
• Experience working with Share Point and Cornerstone a plus
• Timeshare industry experience a plus
