ABOUT THE FUND DEVELOPMENT DEPARTMENT: YouthCare’s Fund Development Department is the mean machine supporting YouthCare’s mission from behind the scenes. The department and its members work diligently and creatively to acquire the funds that keep YouthCare mission focused on ending homelessness for youth and young adults and supporting the YouthCare team with the funding to successfully run its programs and services. The Development Team strategically targets and engages the community in YouthCare’s mission through fundraising, public relations & community engagement, marketing & external communications, public policy work, volunteerism, and in-kind donation management, and much more. The efforts of this department are essential and indispensable.
POSITION SUMMARY: Reporting to the Chief Development Officer (CDO), the Capital Campaign Project Manager will implement and manage all aspects of a $30 Million Capital Campaign through fall of 2025. The Capital Campaign Project Manager is responsible for campaign strategy, including establishing solicitation priorities, managing prospect lists, developing, and executing targeted cultivation plans and solicitation strategies for a range of related projects, campaign publications/communications, preparing and providing support to the CEO and staff, board members and volunteers for solicitation, and planning and managing cultivation events. This role will serve as a trusted and effective primary point of contact for information about the project to internal and external stakeholders, including community partners, donors, and local and state agencies. The project manager will be expected to act independently, maintain strong relationships with stakeholders, and keep multiple priorities and projects organized.
ESSENTIAL RESPONSIBILITIES:
Project Management:
- Maintain an understanding of the key objectives of YouthCare’s community campaign and work closely with staff, board, and consultants on messaging to the community.
- Work with the CDO to manage campaign strategy and goals and to lead a successful campaign.
- Lead project management processes, methods, and principles
- Provide requested project information and acts as a trusted and responsive liaison between external and internal partners.
- Gather information and create documentation, such as project plans, timelines, budgets, and checklists to maintain quality and service delivery.
- Team building, conflict resolution and negotiation skills to facilitate effective exchange of information, problem solving, and ability to use collaborative processes to successfully execute projects involving a diverse group of individuals.
Communications- External and Internal Communication:
- Define a comprehensive campaign communication strategy and produce the elements that make up the plan.
- Work closely with the communications team on drafting copy for various communication pieces and disseminating the communications, including creating list of frequently asked questions, social media/website updates and weekly summaries of the project.
- Act as the focal point for agency project communications and status reports.
- Develop and provide campaign updates throughout all phases of the project to donors and the campaign team.
Administrative:
- Set deadlines, issues assignments, defines immediate and long-term tasks and works to keep the campaign moving according to the timeline.
- Monitor budgets and actual cost reconciliation activities as required.
- Manage contract generation, tracking, routing, and approval.
- Manage agency project tracking materials.
- Ensure department database (Raiser’s Edge) is updated with campaign and donor related information.
- Send response letters as needed in a timely manner.
Donor Relations:
- Educate donors regarding YouthCare’s needs, goals and how a successful campaign will support YouthCare’s vision.
- Work closely with the fund development team to prepare for donor meetings, provide updated materials, and maintain communication and strong relationships with foundation staff and major donors.
- Support development team in securing decisions and developing donors.
- Assist in hosting campaign orientation, appeal training sessions, and distribute assignments.

QUALIFICATIONS –
MINIMUM REQUIREMENTS:
- Bachelor's degree
- 3-5 years of development experience, preferably with a capital campaign, including management and oversight, events, communications, cultivation, solicitation, and grant writing.
- Excellent interpersonal and communication skills, demonstrating a high level of independent judgment, tact, and diplomacy.
- Ability to organize diverse teams, manage external resources, and liaise with a broad range of internal and external clients, departments, and stakeholders, at various levels.
- Ability to work with confidential information in a discreet and professional manner.
- Excellent writing and editing skills, including attention to detail.
- Ability to work under tight deadlines, managing multiple priorities in a dynamic and changing environment.
- Flexible, creative, solution-oriented approach to problem-solving.
- Strong analytical and interpersonal skills.
- Proven track record of success
- Development database experience is preferred.
- Demonstrates honesty, responsibility, integrity, and fulfillment of commitments.
- Experience with budget creation and tracking.
- Experience and credentials must comply with program contractual requirements, including but not limited to the Washington State Department of Children, Youth, and Families (DCYF) background clearance process and must be at least 21 years of age. DCYF Clearance must be maintained for entirety of employment when working with under-18 clients.
CONDITIONS OF EMPLOYMENT:
- Must be able to provide I-9 supporting documentation for employment.
- Ability to provide a negative TB Test (results must be within one-year of hire date).
- Employees who drive YouthCare vehicles as a requirement for their position, must be at least 21 years of age, possess a valid Washington State Driver’s License, meet minimum safe driver criteria established by the agency and our insurance company which includes completion of Defensive Driving and 15-passenger Van trainings. Drivers under the age of 25 must have been licensed for at least 3-years and those operating vehicles with a capacity of 15 or more passengers must be at least 25 years old.
- Successful completion of pre-service trainings as required by contracting agencies. Trainings such as CPR & First Aid (Adult/Child), Bloodborne Pathogens, and Behavior Management.
- Computer software skills including Windows, and Microsoft Office.
- Initiative, creativity, reliability, flexibility, thoroughness.
- Strong verbal and written communication skills with good quality spelling, grammar and punctuation.
- High integrity when dealing with a broad array of cultures and restricted and/or confidential information.
- Ability to coordinate overall program functioning.
- Ability to accurately maintain and produce files, records, logs, and reports.
- May be required to assume responsibilities or duties within the agency not specifically delineated in this job description for short periods of time or on an infrequent basis.

PHYSICAL REQUIREMENTS:
- Ability to perform range of physical motions, exerting up to 50 pounds. Lifting and carrying up to 50 pounds; standing, walking, sitting for long periods of time, kneeling, squatting, and stooping; running for brief periods of time; and go up and down stairs.
