Description
YWCA Tulsa is seeking a Procurement Manager. The Procurement Manager will report to the Senior Director of Finance and will be responsible for purchasing all program supplies and materials, equipment, and services for the entire organization. They will serve as a strategic liaison between stakeholders who have purchasing needs and vendors looking to partner with our organization. They will manage organizational spending, maximize the value of vendor partnerships, and mitigate potential third party risks. This role will require a big picture perspective of the organization as they work with department directors and Senior Leaders to procure supplies and materials needed. This manager will need to enjoy a role with lots of variety in daily operations and be comfortable working with vendors as they work to establish business relationships and terms that are beneficial to the needs of the organization.
Requirements
- Works with the Senior Leadership team to develop a purchasing strategy for the organization
- Reviews and processes purchasing requests in accordance with the Internal Control, Delegation of Authority Policy, and Federal Grant rules and regulations.
- Maintains records of goods and orders received
- Negotiates prices and contracts with suppliers
- Builds and maintains relationships with vendors
- With assistance from the Senior Leadership team, select prospective vendors and negotiate contracts.
- Researches and evaluates vendors to compare pricing and services.
- Schedules deliveries and ensures timely fulfillment of orders
- Coordinates with department directors and managers to monitor supplies on hand and determine supply needs.
- Ensure quality of procured items and addresses issues when they arise.
- Travels to vendor locations to pick up orders and deliver to other YWCA Tulsa locations
- Keeps up with trends in procurement
- Stays currently with technology trends and oversee purchasing implementation when necessary
- Provide manager with monthly reporting on purchases and vendor updates as necessary
- Responsibilities of the job can change as the business model changes for the organization.
Required Qualifications
- Familiarity is helpful with nonprofit operations and government grant purchasing processes and procedures.
- Analyze vendor information and present information to the Senior Leadership team for decision making and reporting purposes. Enjoys collaboration with a team to accomplish goals and tasks required.
- Ability to be flexible and adapt to the growing needs of the organization will be necessary.
- Effective oral and written communication skills, especially as required in preparing and making presentations, working with various committees and interacting with diverse groups of internal and external contacts.
- Intermediate to advanced computer proficiency Microsoft applications.
- An intermediate to advanced level of proficiency in Microsoft Excel will be a great strength in this position. Project management skills are beneficial.
- Must have a current Oklahoma driver’s license, reliable transportation, and current auto insurance verification and registration. Mileage reimbursement will be available in this position.

Education/Experience
- Bachelor’s or Associates Degree in a Business, Accounting, Marketing, or Supply Chain Management. Consideration will also be given to extensive years of experience in a similar role.
- 1-3 years of experience as a buyer, purchasing agent, or prior work in Retail.
- Experience using procurement software and databases is a plus
