Under moderate supervision and following standard procedures, performs routine but varied clerical duties of moderate scope and complexity. Duties may include filing, scanning, mail, phones, correspondence, record management, reports and other duties as assigned. Held responsible for tasks related to the specific department.
The essential responsibilities of this position include, but are not limited to, the following:
- Process records requested by Claims, Medical and Legal by consolidating records electronically.
- Produce table of contents for records.
- Review records for duplicates or misfiled documents prior to creating records.
- Communicate with records requestor and provide follow up information when needed.
- Respond and produce records request within 5 business days.
- Determine which documents are attorney client and work product or proprietary information. Performs moderate to complex clerical work.
- Track and respond to subpoenas timely for all the California branches.
- Determine validity of subpoena and respond to copy service accordingly.
- Process incoming subpoenas and prepare records for vetting process.
- Vet and redact records using the guidelines from legal on what records should and should not be produced.
- File and serve all new medical documents received from the branches to the Applicant attorney for all California files (Cat A).
- Create a proof of service, print, and mail the reports to be served to the AA’s.
- Track and log the file and serve request ‒ Document file and serve actions within Athena.
- File and serve all Cat C (larger requests) from the branches.
- Duties may include filing, scanning, mail, phones, correspondence, and record management.
- May compile and assist in processing of reports.
- May gather, compile, and verify information.
- May perform data entry.
- May enter, compile, and validate data using simple math.
- Selects correct processes from clearly prescribed rules, past practices, or instruction.
- Effectively identify problems as they occur and take appropriate steps to solve them in situations where the problem is not difficult or complex.
- Seeks advice and guidance on difficult, complex, or unusual problems from supervisor.

Education, Skills, and Requirements
- High School Diploma or equivalent required.
- Bachelor’s Degree or equivalent combination of training/experience preferred.
- 2 Years related work experience required.
- Knowledge of Microsoft Office required - possessing basic Word, Excel, and graphics software skills.
- Must type a minimum of 30 WPM.
- Work experience demonstrating ability to work effectively and collaboratively as a member of a team.
- Demonstrates knowledge of assigned work and may possess knowledge of a technical or specialty area.
- Readily learns and applies new information/concept in area of practice.
The expected salary range for this position is $35,027.19 - $46,595.80. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law. Qualifications may warrant placement in a different job level.
