POSITION: PRIVATE EVENTS SALES MANAGER

FLSA DESIGNATION: EXEMPT

REPORTS TO: DIRECTOR OF PRIVATE EVENTS

POSITION PURPOSE:

To provide exceptional customer service assistance with private events inquiries. To work with current and prospective private event clients efficiently and effectively maximizing reservation capacities and revenue.


ESSENTIAL FUNCTIONS AND BASIC DUTIES:

  • Provide friendly, courteous and efficient service to all guests.
  • To provide a friendly phone manner assisting guests with all inquiries
  • A thorough understanding of all booking policies and procedures
  • Works as a member of the restaurant team. Interacts with service crew in a positive manner. Assists others whenever needed.
  • Interacts with people beyond giving and receiving instructions, particularly in resolving Guest complaints.
  • Anticipate and service the guest’s needs before requests are made.
  • Follow proper time and attendance and uniform procedures.


OTHER:

  • Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
  • Due to the cyclical nature of the industry, Employees may be required to work varying schedules to reflect the business needs of the property. In addition, attendance at all scheduled training sessions and meetings is required.
  • Upon employment, all Employees are required to fully comply with all rules and regulations for the safe and effective operation of the facilities. Employees who violate organization rules and regulations will be subject to disciplinary action, up to and including termination of employment


SUPPORTIVE FUNCTIONS:

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions:

  • Assist Director of Private events in handling of events, event systems, event office operations or any other function related to the event department as directed.
  • Appropriately handle all incoming leads using event management system (Tripleseat) and fully manage all aspects of events typically 30 guests and over, or as otherwise instructed by Director of Private Events.
  • Follow-up, manage, and anticipate clients’ needs on all stages of all events, (past, present and future) as directed by Director of Private Events.
  • Respond quickly and properly in any private event function.
  • Management of BEO system and proper updating of all departments as to BEO initial distribution and all subsequent BEO or event alterations
  • Management of Quadranet reservation system, including daily updating of PDR events as well any and and all updates required.
  • Create, maintain and update meeting agendas, minutes and action plan spreadsheets as needed
  • When needed, review and manage Director of Private Events’ email as instructed
  • Maintain an alert and attentive demeanor at all times in addition to remaining calm during periods of heavy business volumes.
  • Maintain cleanliness in all areas of the private event space. Maintains highest standard of hygiene and sanitation. Follows Health Department standards for hygiene and safe food handling.
  • The ability to perform other tasks or project as assigned by Management.


SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES:

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he/she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • Able to speak, read, write, and understand the primary language(s) used in the workplace.
  • Strong communication skills, both verbal and written.
  • Able to learn and perform all essential job functions accurately and safely.
  • Have experience in restaurants, banqueting or events
  • Ability to meet and greet and coordinate with prospective and current clients
  • Strong telephone etiquette, specifically in tone of voice, listening and understanding clients needs, communicating your thoughts clearly, and recording all pertinent data collected from frequent phone conversations
  • Knowledge of the private event menus and beverage list and the ability to communicate clear suggestions to the guests.
  • Strong ability to follow-up on tasks and plans
  • Strong organizational skills with regards to tasks and working area
  • Dedication to enhancing guests’ experience in any way possible
  • Knowledge of private event operations specific to planning, timing and execution
  • Ability to change course or action or focus at a moment’s notice while maintaining composure and confidence
  • Auditory and visual abilities to observe and detect signs of emergency situations
  • Ability to think on your feet and make decisions quickly if needed
  • Ability to work with multiple computer applications including Excel, Word, and Outlook
  • Ability to use or learn to use event booking software, ideally Tripleseat®, Quadranet or similar software
  • Knowledge of some or all of the following; kitchen functions, general culinary practices, restaurant operations and banquet operations
  • Ability to troubleshoot some technological equipment such as laptop computers and phone systems
  • Knowledge of meeting room technology such as lighting and A/V systems a plus
  • Knowledge of current NYC restaurant and event market a plus


PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION:

  • Most work tasks are performed indoors. Temperature is moderated and controlled by facility environmental systems.
  • Able to stand and exert well-paced mobility for an extended period of time.
  • Able to lift up to 25lbs. and on a regular and continuing basis.
  • Able to bend, stoop, kneel, reach, push, pull, twist, walk, crouch, squat and stretch to fulfill tasks.
  • Manual dexterity required to use and operate all necessary equipment.
  • Talking, hearing and seeing (vision) occur continuously in the process of communicating with guests, Supervisors and other Employees.


QUALIFICATION STANDARDS:

Education:

High school or equivalent education preferred.

Experience Required:

Minimum 2 years restaurant, banquet or event sales and/or coordination experience required.

Licenses or Certificates:

Ability to obtain and/or maintain any government required licenses, certificates or permits.

Grooming:

All Employees must maintain a neat, clean and well-groomed appearance per company standards.
