Job Title: Facilities Support Coordinator
Location: Flagstaff, Arizona
Department/Division: OPS: Housing and Facilities
Status: Part-Time, Hourly (Non-Exempt)
Compensation: $19 - $22 per hour depending on experience, Part-time, Not Benefit Eligible
Schedule/Hours: Flexible schedule, Part-time Variable, average 10-15 hours per week
Reports To: National Facilities Manager
Start Date: As soon as position is filled
Position Summary:
The Facilities Support Coordinator will work closely under the direction and supervision of the National Facilities Manager on ACE activities and projects related to housing, offices, warehouses and maintenance of ACE structures, facilities, and systems. Responsible for inspections of facilities, enforcement of Rules and Regulations, identification of maintenance issues, and some minor repair work.
Essential Functions and Responsibilities:
- Weekly walkthroughs of ACE facilities
- Receive maintenance requests from ACE residents (verbally and via email), perform minor repairs, and report bigger issues to National Facilities Manager through Maintenance Request Jotform
- Assemble furniture as needed
- Enforce cleaning standards and procedures
- Send regular photos and/or videos to National Facilities Manager of housing conditions
- Replace deadbolt/door handle locks as needed
- Program electronic locks as needed
- Assist with declutter days. Periodically designate items to be donated or sent to the dump
- Acquire materials & supplies when needed.
- Perform minimal handyperson tasks.
- Ability to maintain timely and regular communication with the National Facilities Manager.
- Track receipts for items purchased and submit to the Director per the policies and procedures.
- Assist with facility relocations.
- Install and program Ring Cameras as needed.
- Be willing to respond to emergency housing/facilities calls 24/7 at the direction of the Director and/or National Facilities Manager.
- Occasional travel to “satellite facilities,” currently located in Tucson, AZ and Trinidad, CO.
- Adhere to ACE safety policies and procedures; Reports any unsafe or harmful conditions, incidents and/or accidents immediately.
- Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff.
- Responsibilities and tasks outlined are not exhaustive and may change as determined by ACE.
- Perform other duties and related functions as needed or assigned by the National Facilities Manager
- Provide supplies to houses as needed
Required Experience and Qualifications: - Proven and relevant work experience in project coordination or applicable related experience.
- Basic construction knowledge is preferred but not required.
- Ability to use spreadsheets to track tasks (MS excel and Google Sheets).
- Strong attention to detail and strong organizational skills.
- Ability to understand and carry out oral and written instructions.
- Ability to understand and follow ACE systems and processes.
- Proven ability to track details and organize
- Professional verbal and written communication skills.
- Proven ability to work independently and be a positive, contributing team member.
- Willingness to enforce rules in real time
- Ability to perform basic repairs and willingness to grow/improve in this area
- Must be authorized to work in the U.S.
- Valid driver's license and an insurable driving record; comfortable driving as needed
- Ability to pass a federal criminal background check.

Physical Demands, Work Environment and Working Conditions: - Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand tools and light power tools as well as keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
- Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
- Weight Lifted or Force Exerted: Frequently lifts up to 20 lbs., ability to lift up to 50 pounds.
- Environmental: Mainly indoor conditions, although may occasionally be subject to outdoor conditions. Indoor air quality is good, and temperature is controlled.
- Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
- Travel: This position requires some domestic travel.
