Accounting Supervisor supervises accounting staff in daily operations of one or more accounting functions, including accounts payable, accounts receivable, ledger maintenance, revenue, and asset accounting. Oversees calculating, posting, and verification of financial data for use in maintaining accounting and statistical records. Being an Accounting Supervisor ensures all analysis and reporting are accurate and prepared in compliance with accounting policies and procedures. Establishes and implements productivity and quality standards. Additionally, Accounting Supervisor typically requires a bachelor's degree in accounting or equivalent. Typically reports to a manager. The Accounting Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions.     Responsible for supervising the accounts payable and accounts receivable functions and all related reporting and reconciliations; verifying financial activity, preparing periodic and special reports, assisting in the development of financial and operational policy guidelines.

    Essential Job Functions:

    • Supervises the accounts payable and accounts receivable function and all related functions and reporting.
    • Supervises the daily activities of the accounts payable and accounts receivable staff.
    • Supervises the timely and accurate reporting of all accounts payable and accounts receivable reports and submissions.
    • Communicates with employees, managers, and customers to clarify information and to explain the billing processes.
    • Enters invoice information and posts it to the accounts payable module; posts payments; creates new vendors.
    • Reviews and prepares invoices for payment authorization; makes sure the receiving documents match invoices; obtains approvals as necessary.
    • Maintains and updates computerized accounts payable and receivable records.
    • Verifies the status of credit memos and enters information into accounts payable module.
    • Reconciles the general ledger to accounts payable and accounts receivable subsidiary ledgers.
    • Reconciles all bank accounts excluding the operating bank account.
    • Assists with the preparation and distribution 1099 NEC, 1099 MISC, 1099R and 1042.
    • Supports cross-functional projects to various departments (when necessary).
    • Maintains disaster recovery folder monthly for accounts payable and receivable.
    • Manage records created and received in compliance with the Hampton Roads Transit Records Management Policy and Procedures.
    • Responsible for maintaining a general awareness of HRT’s EMS.
    • Responsible for handling all related job responsibilities in accordance with HRT’s Environmental Policy, relevant EMS Standard Operating Procedures, and Emergency Management Plan.
    • Responsible for ensuring employees in their respective functional areas have adequate training and tools necessary to meet the requirements of the EMS procedures and SOPs.
    • Responsible for observing and evaluating required EMS competencies among employees in their respective functional areas.
    • Prepare and/or coordinate with other departments any documentation required in support of the FTA triennial reviews, drug and alcohol audits, independent audits, state audits, EEO Program audit, etc.
    • Performs other duties as assigned.

    Required Knowledge, Abilities and Skills essential to Job Functions:

    Practical knowledge of the principles and practices of accounting methods and processes relative to the general ledger. Practical knowledge of computerized accounting systems. Ability to enter data into accounting records accurately. Ability to analyze and solve problems. Must be detail oriented and organized. Knowledge of various types of filing systems. Ability to interpret and apply financial procedures and regulations. Ability to perform prescribed analyses of financial records. Ability to advise and instruct staff in specific operational procedures. Ability to compile, analyze, reconcile, and verify financial records and reports completed by others. Considerable knowledge of current personnel policies and procedures for managing staff.

    Required Software Knowledge and Skills essential to Job Functions:

    Proficiency in using computer systems and the listed software applications associated with performance of assigned work is essential. Intermediate-level problem solving skills associated with software applications used are expected. Software usage relevant to job duties will be evaluated.

    Training and/or Education:

    Bachelor’s degree in accounting, business administration, or public administration required or an Associate’s degree with equivalent experience.

    Required Experience:

    1-to-3-year(s) experience in a supervisory role.

    Licenses or Certificates:

    Virginia Driver’s License
