Finance – Accounts Payable
Summary
Accounts Payable will maintain current accounts and assist in accounting operations. They will analyze expense reports to assign payments to the proper fund, general ledger, location, and department. Works with vendors to resolve past due invoices and reconcile monthly statements. Assist the current Finance – Accounts Payable Clerk, Accounting Data Technician, and Chief Accounting Officer with reports, and to provide highly responsible and complex support to the Accounting Department. Provide payments for goods and services received on a net 30-day basis unless specified otherwise by the vendor.
Essential Duties and Responsibilities

Maintain petty cash accounts and log all outgoing disbursements.

Maintain Till log by site.
?
Monitor all vendor payment agreements to find discounts that can be used to reduce invoice amounts.
?
Responsible for paying all sales tax on appropriate invoices and making an entry of each tax payment made.
?
Keep track of credits owed to the company and ensure all credits are properly applied to vendor payments.
?
Reconcile payable reports each month to confirm that all amounts paid were accurate.
?
Prepare a requisition for payment for each invoice after matching the purchase order, packaging slip, and invoice.
?
Properly code the requisition to the appropriate general ledger accounts.
?
Attaches all applicable supporting documentation.
?
Keys invoice batch into the accounting system.
?
Submits reviewed invoice batches and supporting documentation to the Accounting Data Technician for review, receipt of approval levels, and posting prior to printing checks.
?
Print checks and break down payables for mailing or electronic payment.
?
Obtains W-9 from Vendors to setup vendor along with needed MISC 1099 data.
?
Produce monthly check register for Board Treasurer.
?
Run reports and gather data for UDS and Cost Reports.
?
Other duties as assigned.
Skills / Ability
?
Interpret laws, rules, regulations, policies and procedures acceptable with generally accepted accounting principles (GAAP).
?
2 years’ experience in accounts payable.
?
Ability to use Microsoft productivity software such as Excel, Word and Email
?
Ability to use Abila MIP Fund Accounting.
?
Excellent attention to detail.
?
Strong organizational ability
?
Effective corporate communications skills
?
Ability to consistently meet all deadlines.
Supervisory Relationships:
Reports directly to the Chief Accounting Officer.
