Accounts Payable/Receivable Clerk supports the day-to-day operational activities of an organization's accounts receivable and accounts payable functions. Ensures transactions are recorded promptly and accurately in accordance with internal accounting policies. Being an Accounts Payable/Receivable Clerk creates and distributes invoices to customers and verifies, records, and posts payments received. Reviews purchase orders, statements, and invoices to verify amounts owed and records and processes payments for debts owed by the organization. Additionally, Accounts Payable/Receivable Clerk responds to customer or vendor inquiries regarding payments or billing and researches and resolves discrepancies. Maintains and reconciles accounts payable and receivable ledger accounts. Requires a high school diploma. Typically reports to a supervisor. The Accounts Payable/Receivable Clerk works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     POSITION TITLE:                   Accounts Payable Specialist

    DIVISION:                                Finance

    SUPERVISOR:                         Payroll Manager 

    CLASSIFICATION:                  Non-Exempt

    STATUS:                                   Full-Time

    PURPOSE:

    The purpose of this position is to support the payroll manager in the daily functions of the business office, ensuring that Finance resource functions operate effectively, appropriately, safely, cost-efficiently, and within the regulations set forth by licensing and funding standards.

    KEY AREAS OF RESPONSIBILITY:

  • All bank transactions, including check writing and authorization.
  • Process taxes for AP
  • Reporting
  • Payroll processing
  • Agency auditing
  • Employee verifications
  • W-2s
  • Misc Projects and Administrative support
  • Back up support for the Payroll Manager
  • Employee status changes
  • ESSENTIAL JOB FUNCTIONS:

    • Excellent and professional communication skills, both oral and written.
    • The ability to communicate effectively and professionally with staff, clients, family, board members, and outside organizations.
    • Complete other duties and responsibilities as assigned.
    • Ability to work flexible, non-standard hours, including occasional evenings.

     

    QUALIFICATIONS:

  • Minimum High School diploma and 2 years related Associates Degree in Business, Accounting, Finance or related field preferred.
  • Experience in a related position, knowledge of accounting basics, knowledge and experience with Microsoft Excel, knowledge, and experience with accounting software (MAS90 or Sage100 preferred), the ability to function well in a team environment.
  • Proficiency in using a computer for word processing is required.  Experience with Word and Excel is required.
  • Must be capable of performing repetitive tasks.
  • Ability to perform duties with precision and detail.
  • Excellent organizational skills required.
  • Must possess excellent communication skills both written and verbal, and strong teamwork skills.
  • Must have the ability to communicate effectively, and to work under the stress of meeting deadlines.
  • Budgeting & financial experience preferred.  Knowledge of social security and Medicaid benefits desirable.
  • Possess and maintain a clear criminal record per Medicaid Waiver regulation requirements.
  • Must possess and maintain reliable transportation that meets state requirements for transporting persons served.
  • Dress appropriately as defined by the department dress code.
