Accounts Payable Supervisor is responsible for supervising and guiding the day-to-day operational activities of an accounts payable function. Maintains and reconciles accounts payable ledger to validate charges and ensure accurate and timely payments. Being an Accounts Payable Supervisor prepares and evaluates applicable accounting reports to identify trends, inefficiencies, and opportunities for cost-savings and relays the conclusions to management. Implements standard operating procedures to maintain accurate financial records and compliance with accounting policies. Additionally, Accounts Payable Supervisor investigates and resolves discrepancies in billings and payments. Requires a bachelor's degree. Typically reports to a manager. The Accounts Payable Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be an Accounts Payable Supervisor typically requires 3 years experience in the related area as an individual contributor.     STATUS:                                   Full-Time 

     

    PURPOSE: 

    The purpose of this position is to support the payroll manager in the daily functions of the business office, ensuring that Finance resource functions operate effectively, appropriately, safely, cost-efficiently, and within the regulations set forth by licensing and funding standards. 

     

    PRIMARY FUNCTION:

    Assist in providing overall financial administration of the agency in compliance with all departmental policies, state and federal guidelines and CARF standards.

    ESSENTIAL FUNCTIONS:

    • Maintain accurate, efficient accounts payable system in compliance with agency financial policies including, but not limited to; purchase order/invoice matching and accuracy; computer report/check generation; reconciling vendor account balances.
    • Maintain accurate records of electronic funds transfers (EFTs).
    • Maintain accurate, secure Business Office petty cash.
    • Maintain accurate, efficient accounts payable filing system, including digital format.
    • Ensure timely, accurate posting of transactions, including those necessary for month end financial reporting.
    • Support Payroll Controller and Chief Financial Officer with reporting and accounting related functions.
    • Provide scanned documents in an organized manner for grant claim verification.
    • Maintain the confidentiality of consumer and agency business information in compliance with agency policies and applicable state and federal regulations, including HIPAA.
    • Make adjusting accounts payable entries.
    • Maintain deposit and processing payments for miscellaneous sales and fundraisers.

     

    OTHER FUNCTIONS:

    • Assist with external auditors.
    • Make recommendations for a safe environment for all staff and persons served.
    • Attend meetings and training as requested or required.
    • Perform other duties as assigned by immediate supervisor.

     

    QUALIFICATIONS:

    • Associate degree in accounting, business, or related field; or equivalent experience acceptable.
    • Two years of demonstrated experience in bookkeeping required.
    • Strong organizational skills highly preferred.
    • Demonstrated knowledge of a computer system’s operation with intermediate skills in Excel.
    • Must be able to perform such physical acts as operate calculator or computer keyboard with average speed and access existing records storage which may include lifting (up to 40 pounds without assistance) reaching and bending.
    • Must demonstrate strong written and oral communication skills.
