Accounts Receivable Clerk

  • Position Summary: As an accounts receivable clerk this person will administer all aspects of accounts receivable including billing, deposits, incoming payments, and collections. Facilitates prompt customer payment and ensures customer satisfaction regarding invoices and applying payments.

    Essential Duties and Responsibilities:
    1. Invoices accurately. Generates transactions and documentation. Analyzes billing requirements including partial deliveries, billing schedules and remittance information.
    2. Processes incoming payments, including deposits and credit cards. Applies payments to invoices according to customer guidance.
    3. Makes on-time collections. Manages collections tools, relationships, tracks accomplishments, and sets goals and priorities.
    4. General support. Cross-trains within accounting department as requested. Assists with annual audit. Participates in finance meeting as requested.
    5. Any other duties needed to drive to the vision, fulfill the mission, and abide by Wildflower’s core values.
    Other Functions: Procedure documentation. Maintain excellent documentation of contacts, procedures and customer/vendor information.

    Job Qualifications/Requirements: Ability to understand and to accommodate a wide range of written and verbal communications. Excellent attention to detail and strong organizational skills.
    Works well in a team environment.

    Education/Training/Experience: Minimum: Associates degree, including college-level accounting coursework, or substituting experience. Experience: One year of accounts receivable/payable or customer relationship management.

    Specific Skill: Basic math competency including percentages, filing, data entry.

    Specific Programs: ERP (training provided), MS Word, MS Excel, Internet

    Working Conditions: Weekly deadline-driven collection process. Close working relationships between A/R and A/P, customer service, and upper-level management. Varied and seasonally heavy workload. Very supportive work environment.

What does an Accounts Receivable Analyst do?

Accounts Receivable Analyst
Manage accounts through a collection software that provides a path for collection activity, dispute resolution and creation of collection notices to our customer and or agency families.

Creates and analyzes reports to include performance metrics, trends, and projections in billing, collections, and bad debt.
March 21, 2021
Prepare monthly aged receivable reports using multiple systems, including Microsoft Dynamics GP Smartlist, Excel and ePay, for senior management.
April 12, 2021
Completes broadcast and calendar month end billings, reconciles accounts receivable module preparing monthly roll forward from beginning of month balance to end of month balance based on sales, credit adjustments, and cash receipts for the month.
May 07, 2021
Reviews customer accounts and makes recommendations based on outstanding account balances for referral to outside collection agencies.
May 08, 2021
Post and apply each receipt of cash, credit card, ACH or wire transfer into the accounting system.
May 12, 2021
Assists in training community associates as pertains to Accounts Receivable procedures and functionality available in multiple proprietary systems.
