Administrative Services Director plans and directs the operations of an organization's staff and service functions. Oversees various internal service functions that typically include administrative/office, financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. Being an Administrative Services Director monitors capital and operating budget spending. Designs and implements processes and policies that support efficient service delivery and meet the organization's changing needs. Additionally, Administrative Services Director sets departmental performance goals and standards of service. Utilizes data analytics to measure activity and drive continuous improvement. Requires a bachelor's degree. Typically reports to top management. The Administrative Services Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. To be an Administrative Services Director typically requires 5+ years of managerial experience. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.     The Ward County Human Resources Department will be accepting applications for the position of an Administrative Assistant in the Ward County Veteran's Department.

    Starting Pay Range is $19.99 - $22.07 per hour, depending on experience

    Type of Recruitment - Internal/External

    GENERAL DESCRIPTION OF POSITION:

    This position is responsible to provide services to Veteran’s visiting, or calling the office. These duties include working with veteran’s, providing general information regarding the function of the office, and coordinating veteran’s services with other agencies.

    DUTIES AND RESPONSIBILITIES: (“

    • Answers phone calls and takes messages. Greets clients and visitors.
    • Schedule appointments for Veteran Service Officer.
    • Makes telephone and email contact with other VA offices, primarily in North Dakota.
    • Prepares mailings, compose letters, filing, provides follow-up contacts on behalf of the Veteran’s Services office.
    • Completes medical eligibility and government furnished marker applications.
    • Check obituaries in the newspaper.
    • Obtain DD214s for veterans.
    • Coordinates Stanley & Minot DAV van schedules to Minot AFB VA Clinic and Fargo VA Medical Center.

    SUPERVISION RECEIVED/EXERCISED:

    This position is supervised by the Veteran’s Service Director and does not supervise others.

    POSITION QUALIFICATIONS (KNOWLEDGE, SKILLS, and ABILITIES):
    (“l” indicates essential function)

    • High School or GED graduation and three years’ secretarial experience or AA degree in related field, preferred.
    • Basic knowledge of keyboarding, calculators, fax machines and copy machine.
    • Good verbal and written communication skills.
    • Good telephone skills and etiquette.
    • Ability to empathize with veterans and their families.
    • Knowledge of MS Word and Excel computer programs.
    • Ability to learn and effectively use the County’s computer software, organize assigned work and perform work productively, learn and effectively use new methods, procedures, and technologies in carrying out the functions of the position.
    • Ability to work effectively and cooperatively with other employees, other agencies and the public.
    PHYSICAL and MENTAL DEMANDS: These support the essential functions of the position.

    • Good reading vision.
    • Able to speak and be understood concisely.
    • Able to hear and understand clearly.
    • Able to sit, stand, walk, and bend for extended periods to time.

    • Able to lift and carry up to 20 pounds.

    WORK ENVIRONMENT:

    Normally works Monday – Friday, 8:00 AM – 4:30 PM in an environmentally controlled office.
    Works alone in the office for extended periods of time.

    OTHER ASSIGNMENTS:

    County Department Heads and supervisors reserve the right to amend the functions assigned this position, either temporarily or permanently, at any time as they determine the best interest of their department. Further, employees may be assigned other or additional functions to fill-in during the absence of other employees or vacancies in other positions.
