Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our office. This can be a part-time or full-time position with opportunities for growth and advancement. The ideal candidate will be highly organized, able to multi-task, be detail oriented and have exceptional communication skills. Client confidentiality is a must along with the ability to interact with a wide client base.
Job responsibilities and requirements are as follows:
Knowledge of QuickBooks software (both online and desktop versions)
Knowledge of accounts payable/bill pay functions, accounts receivable and bank reconciliations
Knowledge with multi-appointment calendar, email, Excel and Word software.
Ensure that journal entries and other critical records are maintained in accordance with accounting practices.
Reconciliation of bank accounts within QuickBooks
General knowledge of payroll and payroll procedures, including withholding & sales tax reporting
Provide general administrative support, including managing phone calls, emails, and correspondence
The position requires the applicant to be self-motivated and self-directed with the ability to follow verbal and written instructions. The applicant must also be able to answer incoming phone calls, in person clients and emails.
Qualifications:
- Previous experience in an office or bookkeeping role preferred
- Knowledge of QuickBooks Desktop and QuickBooks Online is required
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in computer applications, including Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to type accurately and efficiently
- Attention to detail and high level of accuracy in all work
- Strong interpersonal skills with the ability to maintain professionalism and confidentiality
- Ability to work independently as well as part of a team
