Administrative Services Director plans and directs the operations of an organization's staff and service functions. Oversees various internal service functions that typically include administrative/office, financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. Being an Administrative Services Director monitors capital and operating budget spending. Designs and implements processes and policies that support efficient service delivery and meet the organization's changing needs. Additionally, Administrative Services Director sets departmental performance goals and standards of service. Utilizes data analytics to measure activity and drive continuous improvement. Requires a bachelor's degree. Typically reports to top management. The Administrative Services Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. To be an Administrative Services Director typically requires 5+ years of managerial experience. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.     Job Duties include but are not limited to:

    • Assist with hiring new employees, new hire paperwork, and training.
    • Maintaining training records and assisting with site scheduling.
    • Assist with safety reporting (MSHA and Incidents etc.).
    • Answer, screen, and forward incoming phone calls.
    • Provide basic and accurate information in-person and via phone/email.
    • Update calendars and schedule meetings.
    • Arrange travel and accommodations and prepare vouchers.
    • Keep updated records of office expenses and costs.
    • Perform other clerical and receptionist duties such as filing, photocopying, transcribing, and faxing.
    • Data entry for various departments.
    • Hours are 7:00 a.m. - 4:00 p.m. (Monday-Friday)

    Skills Required:

    • Proven work experience as a receptionist, front office representative, or similar role.
    • Proficiency with Microsoft office suite, especially excel spreadsheets required.
    • Prior experience with data entry required.
    • Hands-on experience with office equipment.
    • Solid written and verbal communication skills.
    • Ability to be resourceful and proactive when issues arise.
    • Excellent organizational skills.
    • Multitasking and time-management skills, with the ability to prioritize tasks.
    • Positive customer service attitude.
    • Bilingual a plus.

    Salary: $45,000-$65,000 DOE.
