    Terms of Employment
    Full time position - 260 days (depending on start date) 8 hours per day.  Pay per Classified Salary Schedule - Category VI ($20.47 - $31.23) to be determined by qualifications and experience.  This position qualifies for benefits. The District provides its employees with a comprehensive benefits program including medical, life, and dental insurance. The District provides two medical plans for which it pays the full premium for employees, and a fourth option is a buy-up plan for which the district pays the majority of the premium. In addition, the District pays the full employee premium for dental insurance and life insurance. The District contributes to PERA on each employee's behalf and offers additional retirement savings options as well as optional supplemental insurance.  Employees also receive paid time off. Worker’s compensation and unemployment insurance are provided in accordance with State law. This position qualifies for paid leave: 4 annual leave days, 7 sick leave days and 15 vacation days (leave days will be prorated depending on start date.)


    Position Purpose
    Under the direct supervision of the Executive Director of Student Services, to provide clerical, secretarial and administrative assistance to the department, conveying information regarding student services functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees.

    Essential Functions
    • Composes documents (e.g., notices, correspondence, bulletins, reports, newsletter, handbooks) for the director for the purpose of requesting or providing information about school and work-related matters, activities, events, etc.
    • Compliance review(s) and processing of all Special Education records:
      • Manage all student special education records, including maintaining and ensuring the integrity of files including strict confidentiality, security, ad legal disposition.
      • Receive, prepare, store, and coordinate requests and transfers of inactive and active student records from students, parents/guardians, internal schools/personnel, outside districts/agencies in a timely and accurate manner.
      • Ensure compliance with Family Education Rights Privacy Act (FERPA), Individuals with Disability Education Act (IDEA), Address Confidentiality Program (ACP), other federal and state statues, state board regulations, District school board policies, and department procedures/guidelines.
    • Identify incomplete records and work with schools, staff, and Student Services Department personnel to locate and collect required documents for file compliance.
    • Maintain all special education records and files that assist with the annual count(s).
      • State reporting of Special Education data to include discipline, end of year, and December 1 Count. 
      • Complete October Count SPED fields and December Count data elements for staff and students.
      • Complete CDE submission processes to include error resolution, intra-district conflicts, and timelines
    • Create and maintain physical official filing systems and computerized records indexes and databases for the purpose of tracking all records.
    • Communicate with the Student Services Department regarding issues related to student files.
    • Follow records retention schedule and coordinate and oversee destruction procedures in accordance with federal and state laws and District regulations.
    • Attend CDE weekly “Town Hall” webinars and scheduled training for state submissions.
    • Administrator of Enrich system used to manage Individualized Education Programs
      • Assign roles and access to the Enrich program and guidance in navigating the system.
      • Monitor updates to the system by Frontline through the state-wide users’ group (CESUG).
      • Troubleshoot issues for end users.
    • Assist the Executive Director of Student Services to create contracts for out-of-district placements. 
    • Assist with the compiling of documentation for annual High Cost Application.
    • Fulfill Special Education records requests between parents, staff and other districts, both sending and receiving either electronically transferred records through Enrich or manually generated records faxed or emailed with password protection in a timely and accurate manner. 
      • Upload received records and documentation to Enrich. 
      • Complete Social Security Investigation requests, DVR/SWAP requests, and legal requests for documentation.
    • Manage P-card transaction postings and Transaction Envelopes for SPED Dept.
    • Assist SPED staff in maintaining an inventory of SPED equipment.
    • Ordering of SPED testing materials through District Purchase Order processes.
    • Assist the Executive Director of Student Services with daily management and support of staff, families and communications.
    • Assist with medicaid billing as needed

    Additional Duties
    Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the preschool

      students, parents/guardians or district employees that is protected by confidentiality
      laws.

      shall be taken to ensure that only those with a “need to know” are allowed access to
      the material. 
    • Staff members shall handle all employee, student, and district records in
      accordance with applicable district policies.
    • Staff members who intentionally disclose student records, other confidential student information and/or district information may be subject to disciplinary action, up to and including termination

    Uses standard office equipment such as a computer, copy machine, fax machine, telephone.

    Travel Requirements
    Travel required between preschools and to purchase supplies

    • Ability to process paperwork accurately according to standardized procedures
    • Ability to maintain confidentiality of information regarding students, employees and others

    Qualification Profile
    • Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
      • High School diploma or equivalent
      • Associate’s or Bachelor’s degree in business or related field preferred
      • Successful experience with office management preferred
      • Prior successful clerical experience preferred
      • Prior experience working with Enrich preferred 
      • Prior experience working with digital platforms
