Being an Administrative Services Supervisor ensures compliance with established corporate standards and may be responsible for reviewing and evaluating the work and performance of subordinates. May require an associate degree. Additionally, Administrative Services Supervisor typically reports to a manager. The Administrative Services Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. Thorough knowledge of department processes.     As the Administrative Assistant - Human Resource Specialist, you oversee your region's employees’ needs in regard to Human Resources from the beginning of their employment until the end. This includes, but is not limited to: Interviewing candidates, completing orientation with them, navigating workers compensation, setting them up with equipment for their job, tracking their expiration dates of required training, etc. You are the safety net to ensure that our staff remain in compliance with our licensing standards and are the go-to person for any questions or concerns our staff members may have.

    This position is NOT for someone who is simply looking for a paycheck to answer phones and a few emails.     Administrative Assistant - Human Resource Specialist Requirements:

    • Continually reliable

    • High school diploma or GED
    • Minimum average of 36 hours per week
    • 18 years or older
    • Ability to pass federal & state background checks
    • Your own reliable vehicle to get yourself to the office.
    • Valid driver’s license
    • Ability to maintain confidentiality about the clients, families, staff, and any other protected health information (PHI) in accordance with HIPAA.
    • Phone communication & conversation skills
    • Competent with Adobe, Google Docs, Gmail, Microsoft Office
    • Some HR experience preferred
    • Some recruiting & interviewing experience preferred.

    • Strong memory to be able to inform staff of benefits and procedures of the company.
    • Physical Requirements: Due to the somewhat physical nature of this position, there are vision and physical requirements that must be met in order to effectively function in this position. Strength and mobility requirements include being able to perform a variety of physical movements, including lifting and carrying (up to 50 lbs.), kneeling, sitting, bending, running, and squatting. o Vision requirements including close vision (clear vision at 20 inches or less); distant vision (clear vision at 20 feet or more); peripheral vision ability to observe an area that can be seen up and down or the left or right while eyes are fixed on a given point sufficient to provide safety to employee, staff, and clients); and depth perception (three-dimensional vision, ability to judge distance and spatial relationships).

    Essential Functions:

    • *Answering incoming phone calls from potential clients and or current clients, which includes answering questions about what services we provide.
    • Completing intake documentation for incoming clients and updating current client documents.
    • Boosting and maintaining positive and appropriate relationships within your region which includes keeping the culture positive and solution focused.
    • Monitoring and coordinating expiration dates for required training.
    • Being knowledgeable in the HR functions that UTBS utilizes.
    • Preparing and conducting quarterly and annual audits for licensing.
    • Monitoring and assigning essential equipment to staff members.
    • Completing onboarding for incoming employees which includes assigning equipment, setting up continued training, approving documents, etc.
    • Overseeing any and all work med cases within your region.
    • Completing interviews with potential employees, which includes reviewing resumes, conducting in person interviews, phone interviews, and floor interviews.
    • Sending and collecting client questionnaires.
