Summary/Objective
In keeping with our organizations goals, the Admissions Coordinator ensures the needs of the facility are met by facilitating and overseeing the admissions process and participating and monitoring the centers general marketing action plan.
Job Duties
- Participate in the development, implementation, and monitoring of facilitys general marketing action plan
- Obtain target goal number of admissions and referrals through execution of the facilitys marketing action plan
- Ensure budgeted census mix is met or exceeded through execution of the facilitys marketing action plan
- Obtain referral information from telephone and walk-in inquiries, including complete clinical and financial information necessary for admission committee approval
- Ensure financial verification is accurate and complete before the patient is admitted to the facility and assist in reducing accounts receivable
- Obtain family commitment to tour the facility on all viable referrals
- Conduct professional tours utilizing the facilitys clinical personnel as assistance in gaining family commitment to admit to the facility
- Create and oversee systems and processes to allow other team members to conduct tours as needed
- Direct, educate, and coach facilitys personnel to comply with admission process
- Conduct the admission process of signing in and explaining admission policies to patients and their families
- Ensures a smooth transition is achieved and that all paperwork is complete upon admission
- Explain financial arrangements and responsibilities to residents, family members, and responsible parties as applicable
- Chair the daily admissions meeting with facility personnel to provide updates regarding referrals, admissions and follow-up which need to be conducted in order to obtain admission
- Assist with increasing conversion rate by following up on all referrals immediately
- Informs the admissions committee of upcoming discharges
- Informs the marketing team of any referral source issues that arise during the referral process
- Develop relationships with all external referral sources, including community AL/IL centers, physician offices, hospitals, and other local healthcare providers
- Support the overall goals of the facility
- Facilitate and prepare data for all facility marketing meetings and conferences
- Communicate all billing issues with business office, accounting, and marketing as needed
- Document all necessary information in an accurate and timely manner
- Maintain accurate daily updates on the marketing and ensure all data elements are inputted so that reports can be generated on a daily, weekly, and monthly basis
- Also responsible for the integrity of the data which is inputted into the marketing information system (CRM and/or PCC)
- Participates in marketing functions, including conferences, seminars, in-services, and meetings
- Present professional image to consumers through dress, behavior and speech
- Adheres to facility standards for resolving consumer concerns
- Ensure that all patient/resident rights are protected
- Ensure that all admission paperwork is completed and stored consistent with facility requirements
- Communicate and interact effectively with residents, visitors, families, staff, and supervisors
- Attend and participate in departmental meetings and in-services as directed
- Report all resident, staff, or other concerns to the appropriate department head
- Report all incidents, accidents, unsafe situations, and concerns immediately
- Maintain knowledge of applicable federal, state, and local rules and regulations relating to responsibilities
- Ensure that responsibilities are performed consistent with all applicable federal, state, and local rules and regulations as well as facility policies and procedures
Supervisory Responsibility
There are no supervisory responsibilities for this position. However, the position requires communication with and oversight of nursing home staff to ensure that specific policies, procedures, and programs are implemented correctly.
Position Type and Expected Hours of Work
This position is within a healthcare facility that operates every day. Although this is generally a Monday through Friday position, there will be scheduled times of work on the weekends and holidays. Significant events can occur at any given time that require working. Ongoing direction and support may be necessary if systems are not properly implemented, continuously improved, and monitored.
Work Environment and Physical Demands
This position generally will require physical activity. It may at times require walking to various locations within a facility. This position routinely uses standard office equipment such as computers, phones, photocopiers and may require some use of machinery consistent with the job duties.
While performing the duties of this position, the employee is regularly required to talk and hear. This position at times requires the ability to walk, sit, use hands, reach, climb, stoop, bend, kneel, twist, and lift as necessary.

Qualifications
Required Education and Experience
- High school diploma or GED
- Strong utilization knowledge of Point Click Care
- Computer literacy skills (Microsoft Outlook, Microsoft Office, Internet)
- Computer experience using a marketing information system
- Two to three years experience with the admissions process at a SNF, subacute, rehab, or other health care facility
- Proven success in personally developing referrals for a medical product from health care target markets (physicians, hospitals, and case managers)
- Excellent organizational skills with a detail orientation towards documentation and follow-up
- Professional telephone skills with the ability to handle referral calls effectively and efficiently meet the needs of the referral sources and families
- Inside and outside sales experience preferred
- Maintain a professional appearance and present an enthusiastic, motivated attitude
- Experience with Medicare and Medicaid guidelines preferred
- Knowledge of managed care industry preferred
- Experience with local community groups preferred
