Posted Job Title Alumni Relations Coordinator, Penn Medicine Job Profile Title Administrative Coordinator Job Description Summary The Alumni Relations Coordinator will provide crucial support in planning and implementing events and programs to engage alumni and students (MD, PhD, Masters, and GMEs), donors, volunteers, and friends to advocate for the mission of Perelman School of Medicine (PSOM). This position will report to the Senior Associate Director for Alumni Relations. The Coordinator will support and help plan 10-15 Alumni Relations events each year, including Medical Alumni Weekend (MAW). The Coordinator will also provide general administrative support for the Alumni Relations team, which includes maintaining and updating constituent data, pulling reports, updating the PSOM Alumni website, ordering supplies, and responding to inquiries from alumni and other external constituencies. Job Description Job Responsibilities Provide primary support for the planning and implementation of all Alumni Relations events, including Medical Alumni Weekend programming and reunion activities. Specific responsibilities may include pulling invitation lists, managing event registration, booking event venues and other vendors, and on-site support of registration and programming. Maintain and regularly update constituent contact information, email preferences, work experience, and other relevant data points in the University database. Occasionally this will include preparing mass data uploads and large-scale data management projects for the Alumni Relations team. Monitor and maintain the Perelman School of Medicine Alumni website and make regular updates to the events calendar and dedicated reunion class pages. Provide excellent customer service to external constituencies, including alumni and donors. Regularly check, respond to, and/or forward (as appropriate) general inquiries by email and phone. Manage inventory of supplies and event materials for the Alumni Relations team. Keep a detailed record of current inventory and work with internal partners and external vendors to order items as directed. Utilize and maintain established project management and timeline tracking systems.
