The Gift and Records Coordinator is responsible for the accurate and consistent entry and maintenance of charitable gifts to the College â including cash / check, stock, in-kind, planned gifts and grants.
The Coordinator is also responsible for recording fees, auction items and premiums related to Advancement events. The Coordinator collaborates with the Director of Advancement Operations and Reporting on daily gift and pledge entry and projects related to data / gift integrity and maintaining accurate alumni, parent and donor records.
The Coordinator will assist in reviewing and updating records and working with the Director of Advancement Operations on reconciliation with financial services and maintaining the integrity of the data within the Advancement database.
Primary Job Responsibilities :
Primary liaison on gift and pledge information for Operations. Responsible for charitable gift and pledge entry (i.e. cash, check, online, transfers, etc.
and event fees for College events; responsible for gift and event fee modifications.
Coordination of matching gift forms or electronic confirmation of gifts to receive matching company funds; updating matching gift claims in the Advancement database;
providing process to notify donors when matching gifts are available and / or have been received.
Assisting on reconciling with financial services on a regular basis; review and updates based on gift and data integrity reports on a timely basis.
Ensuring documentation for gifts and pledges are scanned to the Advancement database and accessible for staff.
Creating new records, updating records from various sources (i.e. NCOA, iModules, advancement staff, department liaisons); Data integrity review.
Work advancement events; Assist in general office support; Documentation of processes related to all Gifts and Records processes.
Experience :
a minimum of 3 years of similar experience with data entry and databases, accounting / financial background preferred
Required Competencies :
High attention to detail and commitment to excellence
High degree of proficiency using MS Office applications specifically Excel and Word, and direct experience working with databases or entering data into databases
Capacity and energy to balance multiple projects related to gift entry, data entry and customer service in deadline driven environment
Ability to embrace and adopt new technologies, problem solve and suggest ways to improve business processes related to functions of the role and unit
Commitment to maintain high level of discretion and confidentiality related to data and donors rights
