    POSITION REPORTS TO:               ACCOUNTS PAYABLE MANAGER
    SALARY RANGE:                        $25.00 - $26.44/ HOUR ($52,000 - $55,000/YEAR)
    POSITION PURPOSE:
    The Accounts Payable Specialist is responsible for performing a range of accounting and clerical tasks related to the accounts payable function. This generally includes receiving, processing, and verifying invoices, tracking and recording purchase orders, and processing payments.
    ESSENTIAL FUNCTIONS AND BASIC DUTIES:
    • Daily Posting of AP related invoices through export from Purchasing Software and Manual Date entry.
    • Reviewing and matching invoices to PO and obtaining proper authorization in a timely manner to post invoices.
    • Verifying Codes & GL.
    • Enter daily payments in the ERP system & email paystub to vendor.
    • Reconcile vendor statements and resolve any discrepancies or issues.
    • Maintain, organize, and keep up-to-date accounts payable records.
    • Assist in AP related month-end and year-end closing, including assessing vendor accruals.
    • Assist AP Manager with other AP related tasks as needed.
    • Set up new vendors, collect W9 and verify payment details.
    • Partner with team members from various departments.
    • Process employee expense reports, verifying receipts and approvals, and reimburse employees for eligible expenses.
    • Communicate with vendors to resolve invoicing discrepancies.
    • Familiar with Acumatica software a plus.
    OTHER:
    Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
    • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the organization. In addition, attendance at all scheduled training sessions and meetings is required.
    • Upon employment, all employees are required to fully comply with Cipriani rules and regulations for the safe and effective operation of the facilities. Employees who violate rules and regulations will be subject to disciplinary action, up to and including termination of employment.
    SUPPORTIVE FUNCTIONS:
    In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions:
    • To maintain a good and effective industrial relations climate with Cipriani management, and show a willingness to support any necessary change development of the services’ provided.
    • To protect restaurant and diners by adhering to sanitation, safety, and alcohol beverage control policies.
    SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES:
    The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:
    • Requires good communication skills, both verbal and written.
    • Ability to learn and perform all essential job functions accurately and safely.
    • High school diploma. Associate's degree in Accounting preferred.
    • 2-3 years’ experience with accounts payable or general accounting.
    • Proficient Microsoft Office, Excel knowledge and skills.
    • Strong time management and organizational skills.
    • Knowledge of basic accounting principles.
    • High degree of attention to detail.
    • Communicates well and can manage time effectively.
    • Thrives in a team dynamic.
    • Adaptable to change and analytical thinker.
    • Able to manage a high-volume workload efficiently.
    • Self-driven
    • Can maintain confidentiality.
    • Able to execute several tasks simultaneously.
    PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION:
    • Most work tasks are performed indoors. Temperature is moderate and controlled by facility environmental systems.
    • Must be able to exert well-paced ability in limited space and to reach other locations of the property on a timely basis.
    • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
    • Requires manual dexterity to use and operate all necessary equipment.
    QUALIFICATION STANDARDS:
    Education: High school diploma. Associate's or Bachelor’s degree in Accounting preferred.
    Experience Required: At least 2 years in accounting or a related field.
    Licenses or Certificates: Ability to obtain and/or maintain any government required licenses, certificates or permits.
    Grooming: All employees must maintain a neat, clean and well-groomed appearance per Company standards.
