  • Job Summary:

    The Executive Assistant reports directly to the President and works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires independence with a high level of confidentiality, excellent communication, and interpersonal skills, and ability to provide information and services to a wide range of internal and external contacts. Requires knowledge of the departmental policies and procedures. Includes responsibility for executive office management as appropriate.

    Responsibilities:

    • Provides wide range of complex office administration and support to the President.
    • Serves as the Presidents administrative contact and liaison to employees and clients; reviews, assesses, routes, answers, and monitors follow-up action steps on correspondence.
    • Oversees the daily workflow of the President including calendars, coordinate arrangements for meetings; telephone conferences, activities, and events; order supplies and gifts for events, handle travel arrangements and confirm all appointments and reservations; coordinate tasks and schedules; review correspondence and draft appropriate responses.
    • Registration and recertification for several government entities including System for Award Management, Disadvantaged Business Enterprise, and Women’s Business Enterprise National Council.
    • Manage, read, and respond administrative email account on behalf of the President.
    • Prepare, coordinate and record information, agendas and minutes for use in discussions/meetings with staff and outside individuals including weekly team and individual for the President.
    • Tracking of monthly expenditures, providing reports, preparing spreadsheets, and reconciling expense accounts on behalf of the President.
    • Manage organizational files professionally and confidentially.
    • Provides wide ranges of support including keyboarding, composing, and editing letters, memoranda, reports, and time management.
    • General administrative support and other duties as assigned.

    Required Skills/Abilities:

    • Excellent time management and organizational skills, particularly managing multiple emails and calendars.
    • High level of proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook.
    • Superior written and verbal skills; excellent interpersonal skills with understanding of developing and maintaining strong working relationships with staff and diverse range of organizational/business contacts.
    • Ability to make decisions without supervision.
    • Strong attention to detail and high level of organizational skills
    • Professional demeanor and proven ability to maintain confidentiality.
    • Proactive work ethic and ability to work on a team.
    • Resourceful and efficient with time management skills.
    • Exercise good judgment, creative problem-solving skills and sound decision-making ability.
    • Work well under pressure and strong ability to multi-task.

    Education and Experience:

    • Associate’s degree or equivalent required.
    • Bachelor’s degree preferred.
    • At least three years’ related experience required.
